To our customer Inceptua, we are looking for a Project Coordinator to join the company in a new exciting role.

The Position – Project Coordinator

As Project Coordinator, you will coordinate international pharmaceutical projects from customer request through final delivery. Acting as the main operational contact, you will work closely with customers, Programme Managers, QA, Regulatory Affairs, logistics providers and warehouses to ensure medicines are delivered safely, efficiently and in full compliance with GDP/GxP requirements.


This is not a purely administrative role. We are looking for someone who enjoys solving problems, assessing risks and taking ownership in a dynamic international environment.



Purpose of the Role

As Project Coordinator, you will be responsible for coordinating global pharmaceutical distribution projects from customer request through successful delivery. Acting as the operational link between customers, Programme Managers, QA, Regulatory Affairs, warehouses and logistics providers, you will ensure that every shipment is delivered safely, efficiently and in full compliance with GDP/GxP requirements.


The role combines customer service, international project coordination and operational problem-solving. You will proactively manage risks, resolve issues, coordinate multiple stakeholders and continuously strive to deliver a high level of service while contributing to process improvements and operational excellence.



Key Responsibilities

  • Coordinate customer orders from request to delivery.


  • Manage international pharmaceutical shipments and documentation.


  • Act as the primary contact for customers and stakeholders.


  • Coordinate warehouses, transport providers and internal teams.


  • Handle deviations, support CAPAs and ensure GDP/GxP compliance.


  • Identify risks, solve operational issues and drive process improvements



Competence Requirements and Abilities

  • Strong stakeholder management and customer service skills.


  • Experience working in a GDP/GxP-regulated environment.


  • Ability to prioritize, solve problems and make independent decisions.


  • Excellent communication skills in English.


  • High attention to detail with the ability to see the bigger picture.


  • Strong organizational skills and a proactive mindset



Required Experience

  • 3–4 years of experience within Pharma, Supply Chain or Logistics.


  • Experience with international distribution and project coordination.


  • Experience working with multiple stakeholders in a global environment.


  • Experience with temperature-controlled shipments is an advantage.


  • Experience with Early Access Programs, World Courier or CAPA processes is considered a plus
