Role Overview:

Could you be our next Executive Assistant? Globe Life is looking for an Executive Assistant to join the team!

This role is responsible for providing high-level administrative and strategic support to the CEO of the Globe Life Sales Division, serving as a trusted partner who exercises discretion and independent judgment in managing sensitive and confidential matters. The Executive Assistant independently prioritizes tasks, makes day-to-day operational decisions on behalf of the CEO, selects vendors, manages event budgets, and prepares reports and materials that influence business decisions. This position ensures organizational effectiveness by balancing multiple priorities, anticipating needs, and representing the CEO in both internal and external interactions.

This is an Onsite position located in McKinney, Texas.

What You Will Do:

  • Exercise independent judgment in prioritizing the CEO's schedule, resolving calendar conflicts, and determining which meetings or issues require the CEO's direct attention.
  • Represent the CEO in communications and meetings, making commitments and responding to inquiries to ensure seamless daily operations.
  • Select and negotiate with vendors, approve related expenses within established limits, and manage event budgets to ensure cost-effective execution of division meetings.
  • Prepare and review reports that identify trends, risks, and opportunities to support executive decision-making.
  • Revise and improve administrative and event-planning processes to enhance efficiency, collaboration, and business outcomes.
  • Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
  • Review and prioritize requests and information, determine appropriate actions or routing, and ensure timely responses and follow-up.
  • Manage the CEO's calendar, contacts, and travel logistics; anticipate needs and adjust schedules to maximize executive productivity.
  • Coordinate briefing materials and meeting logistics to ensure leaders are well-prepared for discussions and decisions.
  • Prepare Word, Excel, and PowerPoint presentations, agendas, reports, special projects, and other documents supporting organizational objectives.
  • Oversee expense reporting, vendor invoicing, and other administrative processes for the Sales Division leadership team.
  • Manage monthly and quarterly reporting as requested, updating information accurately and in a timely manner.
  • Plan and support execution of Agency Owner Meetings, Summit Meetings, Council Meetings, Virtual Meetings, and Conventions.
  • Partner with Marketing, Sales Operations, and Communications teams to coordinate agendas, manage event logistics, and ensure alignment with executive goals.
  • Monitor project timelines, prepare updates, and flag potential issues or risks for management review.
  • Coordinate facility and IT requests, onboarding support, and in-office logistics to maintain a professional and organized work environment.
  • Exercise discretion, confidentiality, and sound judgment in handling executive-level matters.
  • Anticipate the needs of the CEO, executives, guests, and agency owners based on circumstances and business priorities.
  • Provide hands-on in-office support, welcoming and directing visitors, new hires, and deliveries as needed.

What You Can Bring:

  • Bachelor's degree in Business Administration, Communications, or a related discipline; equivalent professional experience accepted.
  • 5+ years of experience supporting C-level executives in a complex business environment, including managing executive priorities, vendors, and event budgets.
  • Proven ability to exercise independent discretion and judgment in managing executive operations, budgets, and vendor relationships, including negotiating with vendors and balancing cost, quality, and timing considerations.
  • Demonstrated ability to maintain confidentiality, professionalism, and sound judgment in handling sensitive matters, with a strong sense of ownership and accountability.
  • Strong verbal and written communication skills with excellent grammar, clarity, and professionalism; builds positive working relationships across teams and serves as a trusted liaison for leadership.
  • Exceptional planning, time management, and analytical skills; able to manage multiple priorities, meet tight deadlines, identify issues, and recommend practical solutions.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, SharePoint).
  • Highly organized, adaptable, self-motivated, and dependable; flexible and willing to adjust to shifting business needs, including occasional travel and work outside normal hours for major events.
