Role summary:

The Tender Management Business Specialist is responsible for the end-to-end execution of air and ocean freight pricing bids in accordance with Tender Management's standard process. The role centers on translating customer scope-of-work data into clear, actionable instructions for internal pricing and cross-functional stakeholders, and on assembling competitive, accurate, and compliant proposals.

Working under the direction of the Regional Tender Manager, the Business Specialist manages individual RFQ projects through every stage—from requirement analysis and stakeholder coordination to pricing compilation, quality checks, and final submission. Precision in data handling, attention to bidding instructions, and adherence to timelines are fundamental to the role.

The Business Specialist collaborates closely with global pricing colleagues, Finance, Legal, and Sales/Marketing contacts to ensure proposals reflect both market competitiveness and sound risk/yield positioning. While not carrying people-management responsibilities, the role is expected to contribute to team knowledge-sharing, support peers, and actively participate in process improvement initiatives.

Responsibilities:

  • Execute large-scale air and ocean transportation RFQs end-to-end, following Tender Management's standard process from intake through submission
  • Analyze customer scope-of-work documentation and bidding instructions, translating requirements into structured, actionable briefs for Pricing and other internal stakeholders
  • Coordinate input from global pricing colleagues, Finance, Legal, and Sales/Marketing to build complete and competitive proposals
  • Perform rigorous quality checks on pricing data, ensuring accuracy, internal consistency, and alignment with customer requirements
  • Manage submission and upload processes, version control, and additional pricing rounds with precision and timeliness
  • Conduct risk/yield and competitiveness analysis in collaboration with pricing and commercial stakeholders
  • Maintain project records, update pipeline reports, and communicate RFQ statuses to the Regional Tender Manager
  • Utilize and maintain Tender Management tools, templates, and resources; flag opportunities for improvement
  • Support fellow team members, share knowledge, and contribute to continuous process improvement

Qualifications and experience:

  • Education: Graduate from relevant and/or compatible programs
  • Proficient in: Business English, MS Suite, freight forwarding, logistics & transportation
  • Advanced excel skills
  • Minimum 5 years of professional working experience in pricing, procurement, TM, product development, inside sales, freight forwarding operations, etc.
  • Previous experience with cross-functional teams, multicultural environments and project-based work is a must
  • Mastery of an additional language (German, French, Spanish, etc.) is highly desirable
