Responsibilities
Partnership & Documentation Management
- Serve as the single point of contact and primary liaison between the company's Operations team and the specialized global freight partner
- Ensure the partner receives accurate, complete, and timely documentation for all shipments (including packing lists, commercial invoices, and Carnet requirements)
- Work collaboratively with external providers to manage international customs clearance timelines and resolve any documentation or compliance issues
- Manage the inventory of all event assets (booths, equipment, displays, signage) in the company's warehouse or storage facilities
- Oversee the kitting, packing, and staging of materials designated for shipment, ensuring they are prepared according to the freight partner's specifications and international standards with a focus on making it easily tourable
- Utilize robust inventory management tools to maintain real-time tracking of asset locations and condition (at warehouse, in transit, at venue)
- Develop and manage the logistics budget, specifically tracking internal costs (staffing, supplies, internal transport) and verifying/approving vendor invoices against negotiated rates and services
- Identify opportunities for cost savings and efficiency improvements in internal logistics processes
- Track and report on shipment costs and expenses
- Experience: 5+ years of experience in logistics or operations, with demonstrated experience managing a vendor relationship with specialized global freight companies and experience in handling the rental / touring industry
- Documentation: Strong practical knowledge of international shipping documentation requirements (Packing Lists, Commercial Invoices, ATA Carnets) and Incoterms
- Systems Proficiency: Strong familiarity with dedicated Inventory Management Systems
- Skills: Exceptional organizational, negotiation, and project management skills. High degree of attention to detail and ability to manage multiple complex projects simultaneously
