Location: Green Bay, WI - Green Bay Press-Gazette
Schedule: Monday-Friday, 8:00 AM-5:00 PM
Pay: $15.00 per hour
Work Arrangement: In-office

We're looking for a Public Notice Coordinator to join our team at the Green Bay Press-Gazette. This is a detail-focused, customer service and administrative role supporting the placement and processing of public notices, including legal and obituary notices.
You'll work closely with customers, sales representatives, and internal teams to ensure notices are entered accurately, placed correctly, and processed on time. Because many of our products operate on strict deadlines, organization, accuracy, and dependable attendance are essential.
What You'll Do
- Enter and manage advertisements and public notices using internal systems and software
- Coordinate ad placement across print and digital products
- Process proofs of publication, including signing, notarizing, and sending affidavits to customers by email and/or mail
- Generate and manage daily reports, including manifests and affidavits
- Review and respond to multiple email inboxes
- Answer phones, check messages, and provide professional customer service
- Communicate with customers and sales representatives regarding ad placement and deadlines
- Perform accurate data entry and maintain detailed records
- Assist with ad trafficking and other administrative processes
- Use Microsoft Office tools, including Outlook, to manage daily responsibilities
- Work with multiple departments on special promotions and projects
- Learn and use internal systems such as AdBooker, G3, Wave2, AdPoint, and iPublish
- Adapt to changing priorities and assist with other essential duties as needed
What You Bring to the Table
You'll be successful in this role if you are someone who enjoys organized, detail-oriented work and takes pride in getting things right.
- Strong attention to detail and accuracy
- Excellent spelling and grammar
- Strong organizational and time-management skills
- Ability to work effectively in a deadline-driven environment
- Comfortable working with computers and learning new systems
- Basic proficiency with Microsoft Office, particularly Outlook
- Strong written and verbal communication skills
- Professional and efficient telephone etiquette
- Customer service mindset and ability to communicate clearly with customers
- Ability to handle confidential information appropriately
- Strong data entry skills; ability to type at least 50 words per minute
- Dependable attendance and ability to consistently meet deadlines
- Ability to manage multiple priorities while maintaining accuracy
Prior office, administrative, data entry, customer service, or clerical experience is a plus. We provide training on our internal systems and processes. If you are not already a notary, we can assist you in becoming one; prior notary experience is not required.
