Overview
A high-trust, right-hand operator to the Principal, responsible for translating family priorities into clear direction, disciplined execution, and coordinated outcomes across the family office ecosystem. Acts as an integrator across investments, advisors, and household operations—driving accountability, managing complexity, and ensuring the Principal's time and attention are focused on the highest-value decisions. Combines strategic leadership with hands-on oversight of financial administration, operations, and confidential matters. Operates with exceptional discretion in a lean, dynamic environment.
Core Responsibilities
Strategic Leadership & Execution
- Serve as an extension of the Principal to prioritize initiatives, align stakeholders, and ensure follow-through.
- Translate family priorities into annual plans, OKRs/KPIs, and clear execution roadmaps.
- Establish and run operating cadence (weekly priorities, monthly reporting, quarterly reviews).
- Prepare executive briefings, decision materials, and track outcomes and accountability.
- Lead and drive cross-functional special projects from concept through execution.
Operational Oversight and External Professional Coordination
- Act as primary coordinator across lawyers, accountants, trustees, investment partners, and other advisors.
- Determine the scope of services to be provided by the family office directly and those to be executed and coordinated through outside providers.
- Ensure alignment, eliminate duplication, and drive timely delivery across all external parties.
- Evaluate, onboard, and manage vendors/advisors with defined scopes, SLAs, and performance metrics.
- Support the development of key investment and financial reporting for the family.
- Continually assess and improve office operations.
Qualifications
- 5+ years in a Chief of Staff, COO, family office, private client, professional services, or equivalent strategic leadership role.
- Demonstrated experience acting as a trusted advisor or right-hand to senior executives, principals, entrepreneurs, or ultra-high-net-worth families.
- Experience coordinating and managing complex relationships across legal, accounting, tax, fiduciary, investment, or other professional advisory disciplines.
- Strong track record of driving execution across multiple domains (operations, advisors, financial workflows).
- Exceptional judgment, discretion, and ability to operate independently.
- Proficiency with financial systems, document management platforms, and workflow tools.
- Excellent communication skills with the ability to synthesize complex information into clear insights.
Preferred Experience
- Leadership experience within a single or multi-family office, or significant experience advising ultra-high-net-worth families or family offices from a law firm, investment firm, private bank, accounting firm, trust company, consulting firm, or family-owned enterprise.
- Experience managing multi-entity structures, investment reporting, and advisor coordination.
- Familiarity with control frameworks, governance practices, and financial administration.
- Candidates seeking to transition from serving family offices in a professional advisory capacity (legal, investment, accounting, fiduciary, banking, or similar) into a principal-side leadership role are strongly encouraged to apply.
