Role Overview: Property Manager

Haulover Investments Ltd (Haulover), a boutique Toronto-based private real estate holding company, is seeking an experienced Property Manager to manage operations of a portfolio of residential and commercial properties within the GTA. Reporting to the VP and collaborating closely with the Maintenance and Accounting team members, the Property Manager acts as the central contact, ensuring the properties run efficiently, safely and profitably. An organized, solutions-focused, self-starter, the ideal candidate has experience in tenant relations, leasing, coordinating repairs & maintenance and corporate administration; and is seeking a secure, long-term career opportunity, offering ownership within a supportive, dynamic, and close-knit team.

Full-time, regular role, primarily working out of the head office near Yonge & Lawrence.

Duties include but are not limited to:

  • Tenant & Client Relations: Act as the primary contact for residential and commercial tenants, resolving inquiries and complaints.
  • End-to-End Leasing: Often in collaboration with a realtor and the VP, market research, advertising, showings, applicant screening, negotiation and lease execution.
  • Tenant Transitions: Coordinate move-in/out logistics, including unit inspections, lease documentation, utility transfers, security deposits, and insurance verification.
  • Maintenance Coordination: Partner with in-house maintenance person and external trades to schedule repairs, manage preventative maintenance, and secure vendor estimates.
  • Safety & Compliance: Oversee property compliance by conducting monthly fire walks, coordinating safety checks, and maintaining master operational logs.
  • Contract Management: Source, review, and negotiate service contracts for essential property operations (janitorial, waste, landscaping, and snow removal).
  • Maintenance Time Tracking: Allocate maintenance hours to relevant properties using TimeSheets.
  • Financial Administration: In collaboration with Accounting, handle some recurring administration, such as bank account reconciliations, corporate visa tracking and monthly statement review.
  • Tax & Regulatory Filings: Coordinate routine government filings, including monthly corporate/payroll tax administration, quarterly HST preparation, and quarterly WSIB filings.
  • Office & Operations Support: Manage the phone system schedule, track contractor compliance (COI/WSIB) and provide operational oversight across the portfolio.


The successful candidate must:

  • Have strong skills in leasing, tenant relations, R&M and administration.
  • 3+ years in a similar role, ideally for a property management company.
  • Have excellent documenting, follow-up and customer-service skills.
  • Be a reliable teammate, who is resourceful, honest, adaptable, disciplined and self-motivated.
  • Take initiative, work well on their own and proudly take ownership of their work.
  • Have a keen eye for detail, as well as organization and time management skills.
  • Have strong communication skills and an excellent command of written and spoken English.
  • Be seeking a long-term opportunity, valuing the stability, predictable growth and mutual loyalty that comes with working closely with business owners.
  • Live locally (in GTA).
  • Provide a clean Level 2 Criminal Background Check from Toronto Police.
  • Have a valid driver’s license.
  • Have a personal vehicle for moderate business travel throughout GTA (mileage is reimbursed).

Assets

  • Familiarity with government codes; ie fire, building, labour & safety (WHMIS and WSIB).
  • Experience with QuickBooks TimeSheets.
  • Proficiency with Outlook, OneDrive and Teams.
  • Preference for working for a small company.
