Job Purpose
To support property sales and project launches by managing enquiries, administering sales contracts, coordinating marketing activities, and ensuring a smooth customer journey from enquiry to settlement.
Job Responsibilities
Contract Administration
- Prepare, administer, and manage all Contracts of Sale (COS), ensuring accuracy and completeness of documentation.
- Liaise with purchaser solicitors, internal legal advisors, and management on contract matters.
- Monitor deposits, cooling-off periods, contract exchanges, amendments, and settlement milestones.
- Maintain accurate contract registers and sales status reports. Cross-reference all sales transactions, deposits, and settlement records with the OPEX platform to ensure consistency and financial accuracy.
- Ensure compliance with legal, regulatory, and company requirements.
- Maintain secure and organised digital and physical filing systems.
Sales and Marketing
- Manage sales enquiries for off-the-plan, soft launches, and project launches.
- Assist buyers and agents with unit selection and provide accurate project information.
- Coordinate sales transactions from booking through to settlement.
- Maintain accurate and timely updates in the CRM system.
- Support marketing campaigns, exhibitions, open houses, and promotional activities.
- Monitor marketing expenses against approved budgets.
Market Research & Competitor Analysis
- Conduct market research and surveys to assess demand, pricing trends, and buyer preferences in Melbourne’s real estate market.
- Monitor competitor projects and marketing strategies to identify opportunities for differentiation.
- Provide insights and recommendations on campaign effectiveness.
Customer Service & Retention
- Provide exceptional customer service throughout the property purchase journey, ensuring a seamless and stress-free experience.
- Address customer inquiries, follow up on contract processes, and assist buyers in navigating financing options.
- Support and implement customer engagement programs to enhance satisfaction, retention, and referrals.
- Gather and analyze customer feedback to drive service improvements and long-term brand loyalty.
Administrative & Team Support
- Support management in sales reporting, lead tracking, and performance analytics.
- Monitor and verify sales commission invoice and prepare sales commission report
- Monitor and verify sales & marketing spending and reporting
- Check and verify Foreign Investment Board Reporting (FIRB) blanket reporting for submission purposes
Education/ Professional Qualification
- Bachelor’s degree in Business, Marketing, Real Estate, Commerce, or related field (preferred).
- Real estate registration or relevant certification is advantageous.
- Contract administration experience in property development is highly regarded.
Professional Experience
- Minimum 2 years’ experience in property sales, real estate development, or project marketing.
- Experience handling Contracts of Sale and settlement coordination preferred.
- Familiarity with CRM systems and sales reporting tools.
