A Real Estate Operations Manager serves as the operational backbone of a brokerage, sales team, or property management firm. They are responsible for optimizing day-to-day workflows, overseeing real estate transactions, ensuring regulatory compliance, and implementing technology (like CRMs) to scale the business and maximize profitability.
Role Overview
We are seeking a highly organized and proactive Operations Manager to lead the administrative and operational framework of our growing real estate business. You will act as the "chief problem-solver," bridging strategy and execution so that our agents, property managers, and leadership teams can operate at peak efficiency
Key Responsibilities
Operations & Team Management
- Oversee and streamline day-to-day office operations to ensure seamless business performance
- Manage, train, and supervise administrative and support staff to maximize productivity and ensure adherence to company standards
- Maintain team scorecards and key performance indicators (KPIs) to track progress toward business goals
Transaction Coordination & Compliance
- Oversee real estate transactions from contract through to settlement
- Coordinate critical deadlines, inspections, appraisals, and escrow/title processes
- Ensure all transaction files and marketing materials comply with local, state, and federal real estate regulations
Technology & CRM Management
- Manage and optimize the company’s tech stack, including CRM platforms, listing management tools, and property management software
- Implement automated workflows and lead-nurturing campaigns to increase client retention and drive referral business
Financial & Vendor Managment
- Assist with budget creation, expense tracking, and financial reporting
- Manage preferred vendor networks—including photographers, contractors, and stagers—by negotiating rates and monitoring project timelines
- (For Property Management): Oversee rent collection, maintenance requests, and tenant relations
Marketing & Client Experience
- Coordinate listing marketing campaigns, including direct mail, email newsletters, and social media content
- Oversee customer satisfaction initiatives, client onboarding, and client appreciations.
Qualifications
- Experience: 3+ years of experience in real estate operations, transaction coordination, or property management.
- Education: Bachelor’s degree in Business Administration, Finance, Real Estate, or a related field (preffered)
- Licensing: Active Real Estate License (or willingness to obtain) is highly desirable for brokerage
- operations.Tech-Savviness: Proficiency in real estate CRM platforms (e.g., Salesforce, LionDesk, Follow Up Boss) and transaction management software (e.g., DocuSign)
