The Qgenda Systems Business Analyst is responsible for analyzing, optimizing, and supporting workforce scheduling solutions, including the QGenda platform and related scheduling applications. This role partners with clinical, operational, and technical stakeholders to understand business needs, translate requirements into system solutions, and improve scheduling processes that support patient care and operational efficiency.

The Business Analyst serves as the primary liaison between business users, IT teams, and software vendors, ensuring scheduling applications align with organizational goals, regulatory requirements, and best practices. This position supports system configuration,


Key Responsibilities

Business Analysis & Solution Design

  • Partner with operational leaders and end users to identify business needs, process gaps, and scheduling challenges.
  • Conduct workflow analysis and document current and future state business processes.
  • Gather, document, validate, and prioritize business and functional requirements.
  • Translate operational requirements into technical specifications for application configuration and enhancement.
  • Facilitate stakeholder meetings, interviews, and workflow design sessions.
  • Develop business cases and recommend process improvements utilizing scheduling technology.
  • Evaluate the operational impact of requested system changes.
  • Support strategic initiatives involving provider scheduling, workforce management, and resource optimization.

Lead Collaboration and Continuous Improvement

  • Lead requirements gathering sessions with clinical and operational stakeholders.
  • Analyze business workflows and recommend scheduling solutions that improve efficiency and user experience.
  • Collaborate with application analysts, developers, integration teams, and vendors to implement approved solutions.
  • Coordinate User Acceptance Testing (UAT), documenting defects and validating business requirements.
  • Develop process maps, workflow diagrams, and functional documentation.
  • Support organizational change management through communication, training, and adoption activities.
  • Identify opportunities for automation and standardization across scheduling workflows.
  • Participate in enterprise projects involving scheduling optimization, workforce management, and clinical operations.

Scheduling & Data Management

  • Assist departments with building and maintaining accurate staff schedules
  • Ensure data integrity for provider profiles, credentials, and availability
  • Generate and analyze reports related to scheduling, utilization, and productivity
  • Support payroll and compliance processes tied to scheduling data
  • Analyze scheduling data to identify trends, staffing inefficiencies, and optimization opportunities.
  • Develop operational dashboards and KPI reporting.
  • Validate business rules governing provider schedules, staffing templates, and scheduling policies.
  • Perform root cause analysis for scheduling discrepancies and recommend corrective actions.
  • Support data governance initiatives to ensure scheduling data quality.

Collaboration & Continuous Improvement

  • Identify opportunities to streamline workflows and enhance user experience
  • Liaise with QGenda vendor support for escalated issues and system enhancements
  • Participate in cross-functional projects related to workforce management


Qualifications

Education & Experience

  • Bachelor's degree in Business Administration, Information Systems, Healthcare Administration, Computer Science, or related field.
  • 3–5 years of experience as a Business Analyst, Systems Analyst, or Application Analyst.
  • Experience implementing or supporting Qgenda platform.
  • Experience within healthcare operations, physician scheduling, or workforce management strongly preferred.
  • Experience leading requirements gathering, workflow analysis, testing, and change management initiatives.

Technical Skills

  • Strong understanding of SaaS platforms and system administration
  • Experience with scheduling systems, databases, and reporting tools
  • Proficiency in Microsoft Excel (data analysis, reporting)
  • Familiarity with integrations, APIs, or healthcare IT systems (a plus)
  • Business process analysis and workflow optimization
  • Requirements elicitation and documentation
  • Functional specification development
  • Process mapping (Visio, Lucidchart, or equivalent)
  • User Acceptance Testing (UAT)
  • SQL fundamentals for data validation (preferred)
  • Reporting and dashboard development
  • Microsoft Excel (advanced)
  • Power BI, Tableau, or similar reporting tools
  • Understanding of SaaS application administration
  • Knowledge of healthcare scheduling workflows
  • Experience working with APIs and system integrations
  • Familiarity with Agile and Waterfall project methodologies
