We are currently seeking a dependable, organized Administrative Assistant to support our field operations from an on-site construction trailer. This role is essential to keeping projects running smoothly and supporting both on-site staff and leadership.

The Administrative Assistant provides front-line administrative and operational support from a job site trailer. This role serves as a liaison between field staff, project teams, and leadership, ensuring accurate documentation, smooth communication, and reliable administrative support.
Schedule
5–10 hour shifts, Monday–Friday (based on project needs)

Key Responsibilities
- Provide general administrative support, including copying, filing, scanning, and data entry
- Serve as the primary point of contact in the site trailer, greeting visitors and directing inquiries appropriately
- Answer, screen, and route phone calls while providing basic information as needed
- Manage calendars, schedule meetings, and coordinate project or site meetings
- Attend project meetings and accurately record and distribute meeting notes
- Order office and site supplies and track inventory as needed
- Assist with invoicing, documentation, and record maintenance
- Receive, sort, and distribute mail and deliveries
- Act as a liaison for on-site staff by directing questions, requests, or issues to the appropriate parties
- Provide administrative support to project leadership and executives as needed
- Perform other duties within reason, as assigned by leadership
- Prior experience in an administrative, receptionist, front office, or similar role preferred
- Proficiency in Microsoft Office (Word, Excel, Outlook), MS Teams, and phone systems
- Strong organizational skills with excellent attention to detail
- Clear verbal and written communication skills
- Ability to manage multiple tasks in a fast-paced environment
- Professional demeanor and customer-service mindset
- Reliable, punctual, and self-motivated with a strong work ethic
