This is a remote position.

We are looking for a highly organized and resourceful individual to provide comprehensive administrative support to our leadership team. The role involves managing calendars, scheduling meetings, handling correspondence, preparing reports, and assisting with a variety of tasks such as marketing, CRM management, content creation, and basic accounting. The ideal candidate will be proactive, detail-oriented, and capable of handling diverse administrative and operational duties.

Key Responsibilities:

CEO Support:Manage the CEO’s calendar, communications, and priorities, ensuring time is optimized for strategic focus.

Project Assistance:Collaborate with the CEO on company-led projects by carrying out research, preparing briefs, and executing tasks as directed.

Research & Preparation:Conduct detailed research on specified topics, summarize findings, and deliver actionable insights or well-prepared briefs.

Task Management:Anticipate needs, organize priorities, and ensure deadlines are met with precision.

Process Optimization:Identify opportunities to create efficiencies, streamline workflows, and optimize the CEO’s daily activities.

Personal Assistance:Handle personal matters for the CEO, such as researching and planning weekend events, coordinating logistics, or managing household-related tasks.

Team Collaboration:Interface with other team members and, on occasion, the CEO’s spouse to ensure smooth coordination on overlapping tasks.

Software Tools:Use tools such as ChatGPT, ClickUp, Slack, Zoom, Notion, Google Suite (Calendar, Gmail, Drive, Docs, Sheets, Slides), and Go High Level to manage tasks effectively.

Execution Excellence:Follow through on assignments with high attention to detail and quality, ensuring that projects are delivered to a high standard.


Requirements

  • At least 2 years experience as an executive assistant, project manager, or in operations, demonstrating an ability to support leadership effectively.
  • Strong background in research, planning, and managing projects from direction to completion.
  • Experience in managing calendars, email, and documents remotely.
  • Familiarity with tools like ClickUp, Slack, Zoom, Notion, Google Suite, and CRM platforms.
  • Exceptional organization and time management.
  • Strong written and verbal communication in English.
  • Ability to handle multiple priorities and tasks with precision and efficiency.
  • Proactive problem-solving and decision-making.Self-motivated, tech-savvy, and able to anticipate needs
