Overview

Reporting to the Director of Social Enterprise and working as part of the Donation Centre team - the Inventory Manager is responsible for the storage and movement of materials and finished goods including shipping & receiving, warehousing, order filling, picking, and packing, inventory control & records management, dispatch, developing transport schedules, methods, and routes. As well as analyzing and projecting transportation costs, maintaining, loading, packing, and driving vehicles, acquiring and managing fleet vehicles.

Duties And Responsibilities

Donations

  • Ensure donors, store and program teams are greeted promptly and positively and are provided with a safe, cheerful, and thanks filled experience.
  • Oversee the evaluation of items for donation ensuring the team can make sound decisions on whether a donation is acceptable or not and then communicating that information to the donor.
  • Manage the inventory team’s loading and unloading of donations and store orders from the trucks.
  • Review tax receipt information from the team, providing the information to the Fund Development team to ensure tax receipts are issued in a timely manner.

Inventory Movement and Storage

  • Oversee the rough sort of donations in an efficient, consistent manner and goods are moved to the sort of team for further processing in a timely manner.
  • Manage safe, effective baling procedures, recycling and disposal of any items not meeting acceptable criteria.
  • Manage the movement of and storing of product in the assigned areas to ensure inventory is properly counted and tracked.
  • Control the distribution of inventory through daily reviewing of incoming orders, assigning the team as necessary to assemble for loading and distribution.
  • Organize and route delivery or pickup bookings and adjust as needed throughout the day.
  • Direct loading and unloading of trucks throughout the day.
  • Manage the performance of the inventory team, using GROW training as well as coaching, mentoring, teaching and explaining why.
  • Oversee the removal of recycle and disposal items with our partners and vendors.
  • Ensure the Inventory Team’s schedule is posted 10 days in advance of schedule effective date.
  • Approve timecards daily to facilitate payroll processing.
  • Maintain ongoing communication with the Director SE on any issues or concerns.
  • Daily interaction and communication with the warehouse ready team.
  • Other duties as assigned.

Health & Safety and Industrial Hygiene

  • Ensure all required health & safety practices, procedures, and policies for the Operations Centre are
  • in place (with support from the WINS Health and Safety Specialist and other H&S resources)
  • Ensure staff are wearing their required Personal Protective Equipment (PPE)
  • Through excellent communication and by being a role model, ensure that team positively engage in and comply with all WINS health & safety practices, procedures, and policies
  • Maintain a safe work area for all employees, donors, volunteers, clients, and customers by ensuring the building exterior, workstations, aisles, and loading docks are clean, tidy, and clear of clutter / garbage.

Equipment Maintenance

  • Manage the correct maintenance, training, supplies, and use of inventory management equipment including the baler, forklift, and pallet jack
  • Manage the routine and any necessary maintenance of WINS’ truck fleet.

Business Management

  • By analyzing performance data, set targets for daily/weekly production and ensure targets are met or exceed by the Inventory Team.

Team Leadership

  • Act as an ambassador for WINS both on and off the job
  • Provide coaching, motivation, as well as daily leadership, task assignment, and problem solving for team
  • Determine staffing needs and select new employees with Human Resources support
  • Ensure the Inventory Team is provided GROW Training and proper training on health & safety, job duties, and WINS processes
  • Maintain excellent donor, employee, client, stakeholder, and volunteer relations through positive, kind, and professional interactions
  • Ensure the Inventory Team’s schedule is posted 10 days in advance of schedule effective date
  • Approve timecards daily to facilitate payroll processing
  • Maintain ongoing communication with the Director of Social Enterprise on any issues or concerns
  • Participate in daily huddles.
  • Other duties as assigned.

Job Skills And Requirements

  • Eligible to work in Canada.
  • An understanding of and affinity for the WINS brand, mission, and role with our clients, customers, volunteers, donors, and community.
  • College education in a supply chain/inventory management area, or equivalent combination of education and experience.
  • At least 7 years of warehouse/supply chain/inventory experience.
  • At least 3-5 years of supervisory experience in a warehouse setting.
  • Superb organization and planning skills with the ability to prioritize and multitask in a fast-paced environment.
  • Effective communication skills including proficiency in verbal and written English.
  • Good business sense and decision making, to ensure a safe and efficient workplace.
  • Strong leadership skills combined with a welcoming and empathetic demeanor; an ability to build and maintain positive relationships with employees, peers, leadership, donors, clients, customers, and other stakeholders.
  • Excellent customer/donor service orientation.
  • Forklift operating certification is required.
  • Able to stand for long periods of time and willing to work outdoors occasionally.
  • Able to correctly and safely lift a minimum of 50lbs/23kg individually, and 100lbs/45kg as part of a team, on a routine, consistent, and regular basis.
  • Safely transport WINS goods, donations and Moving Associates from one location to another.
