We are looking for a detail-oriented Account Specialist to join our growing logistics team. In this role, you will be responsible for reviewing freight documentation, processing customer invoices, coordinating with factoring companies, and supporting carriers and customers throughout the billing process. You will work closely with internal teams to ensure accurate documentation, timely invoicing, and efficient payment processing.

Key Responsibilities

  • Review and verify Bills of Lading (BOLs), Proofs of Delivery (PODs), and other freight documentation for accuracy and completeness.

  • Prepare, process, and distribute customer invoices in a timely and accurate manner.

  • Submit required documentation to factoring companies according to established timelines.

  • Verify freight charges and investigate billing discrepancies.

  • Provide carriers with payment status updates and rate confirmations.

  • Maintain accurate records of invoices, payments, and supporting documentation.

  • Utilize Transportation Management Systems (TMS), Microsoft Excel, and email platforms to manage daily operations.

  • Communicate professionally with carriers, customers, factoring companies, and internal departments to resolve documentation, billing, and payment-related issues.

  • Prioritize multiple tasks while meeting deadlines in a fast-paced environment.

  • Ensure compliance with company policies and transportation documentation requirements.

  • Assist with additional administrative and operational tasks as needed.

Qualifications

  • Previous experience in logistics, transportation, freight brokerage, or a similar industry.

  • Experience with freight documentation, invoicing, billing, or customer account management.

  • Strong proficiency in Microsoft Excel.

  • Experience working with Transportation Management Systems (TMS) is an advantage.

  • Excellent attention to detail and organizational skills.

  • Strong analytical and problem-solving abilities.

  • Professional written and verbal English communication skills.

  • Ability to multitask, prioritize workload, and meet deadlines.

  • Self-motivated with the ability to work independently in a remote environment.

Working Conditions

  • Working schedule: Monday–Friday, 7:00 AM – 4:00 PM CDT
