General Description:

The Vendor Management System (VMS) Supervisor is responsible for company invoicing and reconciling of revenue in vendor management systems while promoting the core values of caring, expertise and service.

Essential Job Functions:

  • Manage team workflows and volume. Reviews current VMS assignments to ensure optimal portfolio volume and approval turn around time.
  • Maintain productivity reporting for tracking the approval of new shifts in TRM and entering timesheets
  • Maintain Exception reporting for the tracking timely follow up of escalations to completion and intervenes or assumes control of the escalation when necessary.
  • Perform periodic VMS audits to ensure that all shifts have been billed. Shares the results of the audit with the appropriate team members.
  • Participation in hiring team members. Prepares for and conducts interviews.
  • Develop training plans for new hires to the VMS team and takes an active role in the training.
  • Maintain a small portfolio of VMS assignments.
  • Collaborate with Cash Applications, Accounts Receivable, and Collections to minimize outstanding accounts receivable
  • Conduct weekly one to one meetings, continuous evaluations of team members, including annual evaluations and coaching plans
  • Can perform the responsibilities of a VMS Specialist and Lead VMS Specialist
  • Work with Clients and internal teams to find process improvements
  • Work with the VMS and AR teams to define Best Practices
  • Collaborate with approved third-party Vendor Management Systems
  • Read, understand and implement third party contractual language
  • Prepare account reconciliations and write up adjustments
  • Help to create an environment of high morale, motivation and teamwork
  • Other duties as assigned

Minimum Skills, Knowledge & Talents:

  • Associate degree or 5 years’ experience required
  • Previous experience with leading and supervising teams preferred
  • Must have an ability to become an expert in all VMS platforms used by the organization
  • Must have an ability to become an expert in pay bill systems
  • Must be detail-oriented and highly organized
  • Must have change leadership experience and strong leadership skills
  • Ability to multi-task, manage workflow/volume and delegate responsibilities
  • Ability to organize and complete work in a timely manner
  • Ability to communicate effectively with all levels of the organization
  • Ability to mentor, motivate and build assigned team/employees
  • Ability to work independently and with other team members
  • Knowledge of proper grammar, spelling and rules of composition
  • Ability to travel as required
  • Must have a working knowledge of computers and software systems including Microsoft Office products and the Internet
  • Must be able to work for prolonged periods of sitting, typing and use of the phone and computer
  • Must successfully complete onboarding training/tutorials and attend future webcasts/trainings as required
