About the Role
As an IT Software Asset Management Lead (L4), you will own the end-to-end delivery of complex IT software licensing and hardware programs. Operating with autonomy, you will collaborate across functional teams (IT, Sourcing, Finance) to optimize our IT asset lifecycle and software Procure-to-Pay (P2P) mechanics. You will serve as a strategic partner, bridging the gap between vendor capabilities and internal user needs while ensuring the financial health, compliance, and continuous operation of our critical enterprise applications and hardware fleets.
What You'll Do
- Manage the operational mechanics of enterprise application licensing, including tracking usage, identifying cost gaps, raising Purchase Orders (POs), and validating vendor invoices to ensure continuous service.
- Conduct regular audits of software consumption to identify \"shelfware,\" aggressively reclaiming inactive licenses and ensuring our licensing tiers match actual business needs.
- Monitor budget burn rates for consumption-based SaaS tools and hardware stock, proactively submitting PO change orders to prevent service outages or deployment delays.
- Reconcile complex invoice discrepancies by collaborating directly with vendors, Accounts Payable, and internal stakeholders to resolve billing exceptions quickly.
- Lead the end-to-end lifecycle of corporate IT hardware assets, ensuring accurate tracking from procurement and deployment through maintenance and secure decommission.
- Analyze data from ticketing and asset management systems (e.g., Zluri, ServiceNow, Jira) to identify trends, resolve backlog issues, and implement proactive service improvements.
- Optimize global IT spend by creating project budgets, tracking financial status, and identifying recurring cost-reduction opportunities across both software and hardware portfolios.
- Design and execute comprehensive project plans for large-scale software deployments or hardware refreshes, mitigating risks and managing communications with cross-functional leadership.
- Identify operational gaps and implement process changes, creating playbooks for software provisioning and hardware fulfillment, and facilitating training for impacted teams.
- Serve as an escalation point for complex supply chain and licensing issues, advocating for user needs and translating them into prioritized operational solutions.
- Experience acting as the primary point of contact during a supplier audit to minimize \"true-up\" costs and penalties.
- Partnering with Procurement to use usage data as leverage during contract renewals.
Basic Qualifications
- 4+ years of experience in Information Technology operations, with a strong focus on enterprise software licensing operations (P2P processes, PO management) and corporate hardware asset tracking.
- Proven experience managing vendor invoices, identifying cost gaps, and resolving billing discrepancies to prevent service interruptions.
- Experience utilizing and enhancing enterprise Software Asset Management (SAM) and IT Asset Management (ITAM) applications.
- Proven ability to analyze operational data from systems like ServiceNow, Jira, or ERP tools to inform recommendations and measure KPIs.
- Experience leading cross-functional projects, managing dependencies, and shifting priorities effectively in a dynamic environment.
- Excellent communication skills with the ability to articulate complex financial and operational strategies clearly to a variety of audiences.
- Deep understanding of the different software licensing types, renewal, and true-up frequency.
- Data Normalization: Experience cleaning up \"dirty\" data from discovery tools to ensure accurate reporting.
Preferred Qualifications
- Familiarity with financial procurement and ERP systems (e.g., Coupa).
- 4+ years of experience in a help desk or IT support role managing Apple, Windows, and Chromebook environments.
- Lean Six Sigma Certification.
