Purchasing, Logistics & Compliance Coordinator

Location: Remote
Employment Type: Full-Time
Compensation: $1,600 – $3,000 USD/month

About the Role

We are seeking a highly organized and detail-oriented Purchasing, Logistics & Compliance Coordinator to support international purchasing operations, import logistics, supplier coordination, food safety compliance, and cross-functional operational processes.

This is a key hybrid role connecting multiple departments across the organization, including purchasing, logistics, freight coordination, sales support, operations, quality assurance, and accounting-related functions.

The ideal candidate is analytical, proactive, highly organized, and comfortable working in a fast-paced environment involving international suppliers, freight partners, operational workflows, and customer coordination.

This role is essential to ensuring seamless communication, efficient operations, and high-quality service delivery to both customers and vendors.

Key Responsibilities

Purchasing & Procurement Support

  • Assist with purchase order creation, tracking, and documentation

  • Communicate with domestic and international suppliers regarding pricing, availability, and order status

  • Maintain supplier records, contracts, and product specifications

  • Support inventory planning by monitoring stock levels and supplier lead times

  • Help resolve discrepancies related to orders, invoices, and shipments

  • Support landed cost calculations and monitor commodity market trends

Logistics & Import Coordination

  • Coordinate inbound shipments with freight forwarders, customs brokers, and warehouses

  • Track shipments from origin to destination and provide status updates to internal teams

  • Prepare and organize import documentation including:

    • Commercial invoices

    • Packing lists

    • COAs

    • Bills of lading

  • Assist with customs clearance processes and documentation requests

  • Support issue resolution related to delays, damages, or shortages

Food Safety & Regulatory Compliance

  • Maintain food safety and regulatory records such as supplier approvals, COAs, and audit documentation

  • Support compliance with applicable food safety standards including:

    • FDA

    • FSMA

    • HACCP

    • GFSI

  • Coordinate with suppliers and internal teams to ensure compliance requirements are met

  • Support internal audits, customer audits, and regulatory requests

Customer Service & Sales Support

  • Serve as a primary point of contact for customers throughout the order process

  • Address customer inquiries, shipment issues, and service-related concerns professionally

  • Keep sales teams informed regarding PO/SO status and shipment updates

  • Support customer communications and relationship management efforts

Claims, Reporting & Administrative Support

  • Handle claims professionally and investigate operational discrepancies

  • Maintain organized digital filing systems and operational records

  • Prepare reports, spreadsheets, and summaries for management teams

  • Support cross-functional communication between purchasing, logistics, sales, quality, accounting, and operations teams

  • Assist with administrative tasks to improve workflow efficiency

Requirements

Experience & Background

  • Minimum 2+ years of experience in:

    • Purchasing

    • Logistics

    • Import/export coordination

    • Food safety

    • Supply chain operations

    • Similar operational roles

  • Previous experience in food ingredients, food manufacturing, or import/export industries is strongly preferred

Technical Skills

  • Advanced Microsoft Excel skills, including complex spreadsheet management

  • Familiarity with ERP systems and order management platforms

  • Comfortable working with operational, freight, and inventory-related data

Communication & Interpersonal Skills

  • Excellent written and verbal communication skills in English

  • Strong ability to write professional emails and communicate with international suppliers and customers

  • Strong relationship-building skills with internal teams, freight partners, and vendors

Analytical & Organizational Skills

  • Strong problem-solving and analytical abilities

  • Highly organized with strong attention to detail and accuracy

  • Ability to manage multiple priorities and deadlines in fast-paced environments

  • Collaborative and adaptable mindset with willingness to support across departments
