Location: Santa Ana, Ca / On-site

Compensation: $72,000.00 - $75,000.00 per year

We are seeking an experienced, highly organized, proactive, and customer-focused Customer Account Manager (CAM) to join our growing team. This role is ideal for someone who thrives in a fast-paced manufacturing environment, enjoys managing complex projects, building customer relationships, and takes pride in delivering exceptional service while maintaining operational excellence.

This is not a passive customer service role. We are looking for a strategic problem solver who can think ahead, multitask under pressure, communicate effectively, manage operational timelines, and proactively grow customer accounts through relationship management and upselling opportunities.


Position Overview


The Domestic Outsource Coordinator plays a key role in ensuring smooth, on-time production by serving as the central liaison between internal teams, domestic outsource vendors, and transportation operations. This position is responsible for managing outsource production workflows, maintaining accurate timelines, and coordinating daily logistics with company drivers and the warehouse team. The ideal candidate is highly organized, proactive, and comfortable operating in a fast-paced, multi-department environment where accuracy and communication are critical.


Key Responsibilities


Outsource Production Coordination

  • Serve as the primary point of contact for all domestic outsource vendors.
  • Partner with Account Managers and Product Developers to assign orders to appropriate vendors based on capacity, timelines, and specifications.
  • Coordinate with Product Development to ensure correct samples, retains, and production notes are prepared and delivered to vendors.
  • Pull and prepare sample retains according to daily schedules.
  • Collaborate closely with internal production teams to prioritize, expedite, and troubleshoot outsource orders.
  • Maintain and communicate clear production timelines, status updates, and expectations with internal teams and vendors.
  • Create and review daily vendor priority lists to align production goals and monitor progress.
  • Escalate production risks or delays promptly to minimize impact on delivery dates.


Logistics & Transportation Coordination

  • Accurately schedule all outsource pickups and deliveries in Shopworks and communicate details to the Warehouse Manager.
  • Prepare and distribute daily pickup and delivery schedules, including PO numbers and special handling instructions.
  • Ensure all required samples and documentation accompany outsource production orders.
  • Review same-day logistics schedules with the Warehouse Manager each afternoon and communicate updates to relevant teams.
  • Track and communicate ETAs for urgent or time-sensitive orders.
  • Coordinate transportation details with vendors and internal teams, ensuring accurate documentation of all movements.
  • Identify recurring logistics challenges and propose process or routing improvements.


Order & Cost Management

  • Update purchase orders with revised delivery dates, quantities, or vendor changes as needed.
  • Track and communicate pricing updates related to samples, production runs, or reorders to ensure billing accuracy.


Cross-Functional Collaboration

  • Communicate daily with Shipping, Receiving, Customer Service, Production, and Product Development teams to ensure alignment.
  • Support continuous improvement initiatives related to outsourcing workflows, vendor performance, and logistics efficiency.


Qualifications


  • 2+ years of experience in logistics, production coordination, or vendor management (apparel, print, or embroidery experience preferred).
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills with internal teams and external vendors.
  • Working knowledge of routing, transportation scheduling, and vendor coordination.
  • Proficiency in Microsoft Office; experience with Shopworks, FDM4, or GPS tracking systems is a plus.
  • High attention to detail, accountability, and follow-through.
  • Ability to work independently, problem-solve proactively, and adapt to changing priorities.
