Position Responsibilities
- Provides for patient privacy and confidentiality by handling sensitive patient information with discretion.
- Attends updates from Dept of Vital Statistics as they are offered to keep appraised of changes in the laws.
- Keeps supervisor updated on changes, written communication, statistical reports from the Department of Vital Statistics in a timely manner.
- Meets all County and State deadlines as it relates to Birth Certificates.
- Maintains competency with computer and software programs related to birth statistics and Healthy Start Program. Initiates Healthy Start screening.
- Is flexible with work schedule to meet volume needs, works weekends as needed.
- Provides orientation and additional update training as needed to other secretaries cross-trained to cover her absence or during high volume periods.
- Collects and transcribes patient data accurately.
- Refers complex questions to supervisor or other appropriate person.
- Is knowledgeable and adheres to infant abduction prevention program.
- Interviews every pt. to complete birth certificate form, including demographics, baby’s name, correct spelling, and obtain medical information from mother’s chart needed to comply with state regulations.
- Understands state laws re; paternity, unmarried couples, and initiates proper forms as needed.
- Understands and complies with deadlines imposed by state law to ensure MSMC does not get fined.
- Correctly types entire birth certificate without error, returns to parents for signatures.
- Explains correct procedure to parents for obtaining social security card.
- Checks all ID as required by state. Scan photo ID of every visitor, enter room and name of pt. being visited.
- Willing to cover sick calls, vacations, and every other Saturday for full time Birth Registrar, remaining hours on unit will be same as unit secretary.
- Must be at front desk at all times, get coverage for any reason to leave desk.
- Monitors video cameras which record activity on 3 Blum and exit doors.
- Calls pt. and verify visitor is known to pt. if visitor does not have photo ID, or call security or charge nurse for any suspicious persons.
- Performs other tasks as assigned.
- Ensures each scheduled patient has complete charges and posts charges daily. Follows department charge capture procedures in accordance with hospital-wide charge capture procedures.
- Ensures accurate data input of item descriptions, quantities, and any other specific information
- Reviews charge capture on a daily basis to ensure accuracy and timeliness of charges and verifies with manager/team leader for reasonableness of no charges, minimal charges, unusually high charges, or high quantities related to the reconciliation standards established for the department.
- Reconciles patient charges to services provided in department on a daily basis utilizing the computer reports from HSM and Star. Re-bills accounts when necessary.
- Sends copy of signed billing slip for non-file items to purchasing daily.
- Notifies manager/team leader of any incorrect information or discrepancies in data files, edits appropriately as directed.
- Reviews and matches daily patient schedule to Department Log Detail for Reports specific for each cost center for accuracy and completeness. Communicates incorrect and/or missing charges to manager/team leader.
- Reviews and reconciles all reports associated with daily charge capture procedure. Communicates any variance identified to manager/team leader to initiate immediate follow up for corrective action.
- Investigates and resolves any discrepancy between Patient Logs/schedules on the same day. Notifies manager/team leader when trends are identified.
- Communicates any patient type or account number errors daily to manager/team leader and/or Registration for correction.
- Assures efficient and timely transfer of patient charts to journaling clerk. Copies charts, as necessary, to facilitate corrective follow up for errors, exceptions, or charge information to minimize delays for journaling.
- Posts Recovery daily charges.
- License/Registration/Certification
- BLS certification preferred.
- Education
- High School or GED equivalent preferred. Medical terminology proficiency preferred.
- Experience
- 1-2 years experience preferred, preferably within healthcare.
