Role: Executive Assistant to Director

We are seeking an experienced, proactive Executive Assistant to provide high-touch administrative and operational support to a Director-level leader. This on-site role requires impeccable organisational skills, discretion, and the ability to manage complex calendars, stakeholder coordination, and critical administrative workflows across a busy technology organisation.

Role & Responsibilities

  • Manage the Director’s calendar: prioritise meetings, coordinate cross-functional scheduling, and minimise conflicts to maximise leader productivity.
  • Coordinate domestic and international travel logistics, visas, itineraries and on-the-ground arrangements; handle secure travel documentation.
  • Prepare and edit presentations, briefings and meeting packs; synthesise information into concise one-pagers and action-oriented agendas.
  • Own expense administration and reconciliation: prepare expense reports, follow up with finance and ensure timely approvals.
  • Act as primary liaison with internal stakeholders and external partners—screen requests, route communications, and ensure timely follow-ups.
  • Handle confidential correspondence and sensitive documentation with the highest level of discretion; implement filing and record-keeping best practices.

Skills & Qualifications

Must-Have

  • 3+ years supporting senior leaders (Director/C-suite) in a fast-paced corporate or technology environment
  • Proven mastery of Microsoft Outlook and calendar management for senior executives
  • Strong proficiency in Microsoft Excel and PowerPoint for reporting and presentation preparation
  • Experience managing complex travel arrangements and expense management processes
  • High level of confidentiality, professional discretion and stakeholder management
  • Excellent written and verbal English; ability to draft polished emails, briefs and agendas

Preferred

  • Familiarity with Concur or other expense/reporting tools
  • Experience with Microsoft Teams / Zoom and electronic signature tools (DocuSign)
  • Prior experience supporting leaders in a technology or AI-focused organisation
