We are seeking a highly organized and proactive Administrative Assistant to join our team and provide comprehensive support to the Personal Assistant (PA) of the CEO. The successful candidate will support day-to-day administrative operations and collaborate closely across departments.


Responsibilities


  • Supporting the PA to the CEO by sharing daily administrative, HR-related, and facilities-related tasks according to workload and priorities
  • Managing incoming and outgoing correspondence (email, couriers, packages, etc.)
  • Providing travel, accommodation, and administrative support to the Technical Department
  • Coordinating company utilities in collaboration with the Technical Department
  • Providing cross-departmental administrative support when required
  • Coordinating annual company events, internal & external meetings and related logistics
  • Managing office supplies, online orders, and liaising with external vendors, service providers, and collaborators
  • Conducting research and preparing presentations or reports when required
  • Managing hotel reservations for collaborators, as needed
  • Assisting with external tasks related to office operations, as needed



Required Skills & Qualifications

  • Proven experience as an Administrative Assistant or in a similar role (minimum 5 years)
  • Strong organizational skills with the ability to prioritize and manage multiple deadlines
  • Hands-on, flexible, and solution-oriented mindset
  • High attention to detail and accuracy
  • Proactive attitude with strong follow-through
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills in Greek and English
  • Ability to handle confidential information with discretion
  • Ability to perform well under pressure in a fast-paced environment
  • University degree a plus
