Position Overview
Our firm is seeking a detail-oriented, organized Immigration Legal Assistant to support our office operations. This role is open to entry-level candidates. This position is important to our client intake process and day-to-day case management including opening and closing client matters, managing critical communications, and ensuring smooth workflow between clients, attorneys, and staff.
Key Responsibilities
· Support client consultations with attorney/paralegal; take detailed notes on case matter information, matter type, fee terms, case strategy and procedures, and next steps.
· Handle scanning, printing, mailing, filing, document management, and quality control for submissions.
· Greet, screen, and route client calls; gather preliminary information when appropriate; answer questions when appropriate;
· Assist with preparing retainer agreements using firm templates and assist with file-opening documentation.
· Assist with client account management, including supporting the Accounts Manager by helping track retainer balances, payments, outstanding invoices, and account depletion; notify paralegal of needed next steps.
· Help create and maintain client files/folders per client case management system and standard procedures
· Assist with template letters/notices and manage high phone/email volume while maintaining confidentiality/professionalism.
Required Qualifications
• High school diploma
• Must be familiar with and proficient using Microsoft Office products and other software applications common in professional offices
• Strong organizational and time-management skills Attention to detail and accuracy
• Ability to multitask and prioritize in a fast-paced environment
• Strong written and verbal communication skills
• Ability to work independently and as part of a team
Preferred Qualifications
• Prior experience in a professional office
• Proficiency in one or more languages in addition to English
• Familiarity with immigration law or legal concepts
Compensation & Benefits
• Salary: At least $15 per hour; negotiable and commensurate with experience
• Schedule: Full-time, in-office (Monday–Friday)
• Location: Charlotte, NC
