IP Docketing Administrator – US & Foreign Patent

This Is For An IP Docketing Professional Who Wants To Work At a Respected Firm With a Strong IP Practice And Grow Their Expertise Into Annuity Management And International Prosecution Support. Candidates Must

• Have 2–3 years of dedicated IP docketing experience covering US and foreign patent matters
• Have hands-on USPTO electronic filing experience (Patent Center/EFS-Web)
• Be authorized to work in the US without sponsorship

This is NOT for candidates with only general legal docketing backgrounds — dedicated IP docketing experience is required.

What You'll Be Doing

• Manage daily docketing of US and foreign patent and trademark correspondence, ensuring all critical dates are accurately recorded
• Review deadlines weekly and proactively contact attorneys and staff to gather information needed for non-extendable deadlines
• Cross-train in annuity and maintenance fee management — processing US and foreign payments through a third-party vendor and corresponding with foreign associates
• Perform regular quality control audits to verify accuracy and timeliness across all docketing database entries
• Support IP attorneys and Senior Paralegals on US, PCT, and foreign prosecution matters including document preparation and filing
• Coordinate with the external docketing team to resolve outstanding issues and manage the Docket Box

What We're Looking For

• 2–3 years of dedicated IP docketing experience at a law firm or in-house IP department
• Hands-on USPTO Electronic Filing System experience (Patent Center/EFS-Web)
• PCT and foreign filing procedural knowledge
• Error-free record-keeping instincts and calm under deadline pressure
• Annuity/maintenance fee experience or foreign associate coordination is a meaningful bonus
