ROLE PURPOSE

The Private Client Coordinator will support Bulgari’s High Jewelry portfolios by providing the operational and organizational bandwidth required to manage an exceptionally demanding UHNW global client base.

This role ensures flawless execution across all areas that directly impact High Jewelry sales: VIP client experience, global travel, event support, shipping and logistics coordination, cross-functional communication, and day-to-day operational discipline.


KEY RESPONSIBILITIES

High Jewelry Sales & Operational Support

  • Full operational support from client request to delivery
  • Payment processing, GR confirmation, and product accuracy checks
  • Store transfers, shipments, logistics timelines, repair oversight
  • Invoicing, urgent payment processing, and accurate store-level ringing
  • Liaise with High End product team to execute monthly client facing lookbook which can be tailored to each client outreach by the PCM


Event & Activation Coordination

  • Logistics for High Jewelry events
  • On-site event support and post-event follow-up
  • Booking travel for VIP clients
  • Managing all itineraries for domestic and international VIP travel
  • Coordinating bios, RSVPs, dietary needs, and documents for brand events
  • Assist in the monthly strategy and execution of PCM CRM driven initiatives


Administrative & Organizational Management

  • Maintaining digital files and client pipelines
  • Creating KPI, sales progress, and deadline trackers
  • Managing inventory of gifting items

VIP Client Experience & Luxury Discretion

  • Delivering Bulgari-level hospitality
  • Understanding UHNW client sensitivities and expectations
  • Adding personalized touches to deepen connection
  • Preparing PCMs for every engagement
  • Preparing client assortments, lookbooks, personalized presentations
  • Managing birthdays, anniversaries, holidays, and special high level client gifting
  • Support in driving the client journey mapping for all PCMs

Anticipatory & Proactive Support

  • Identifying issues before they escalate
  • Anticipating sensitivities and timing
  • Supporting communication strategies
  • Owning operations to elevate PCMs focus

Internal Coordination

  • Following up with corporate partners when timelines stall
  • Liaising with High End, High End Watches, Alta Gamma, CRM, Events, Merchandising, BOH, Logistics, After Sales, Boutiques and Corporate Partners
  • Handling in-person communication at corporate to accelerate action
  • Managing the constantly shifting calendar of events


IDEAL CANDIDATE PROFILE

  • 3 + years supporting executives in luxury, retail, hospitality, fashion, or High Jewelry
  • Exceptional communication skills
  • Highly organized and calm under pressure
  • High level of emotional intelligence, discretion, proactivity
  • Strong follow-through and problem solving
  • Proficiency in Excel, PowerPoint, Google Suite
  • Comfortable engaging with Ultra High Net Worth clients
  • Available for evening/weekend events
