The Finance Assistant provides essential administrative and accounting support to the Finance Department. This role is responsible for maintaining accurate financial records, processing transactions, assisting with reconciliations, and ensuring compliance with internal controls and organizational policies. The ideal candidate is detail-oriented, organized, and able to handle confidential financial information with professionalism. Payroll knowledge and experience is a plus.
Essential Functions And Duties
Financial Transactions & Recordkeeping
- Process accounts payable and accounts receivable transactions
- Record deposits, withdrawals, wires, and other financial transactions accurately
- Maintain organized financial files and documentation for audits and reporting
- Assist with bank reconciliations and credit card reconciliations
- Support payroll-related tasks as needed, such as processing payroll documentation, tracking payroll changes, and assisting with payroll recordkeeping
- Enter financial data into accounting systems and spreadsheets
- Assist in preparing routine financial reports and summaries
- Track expenses and support budget monitoring
- Verify accuracy of invoices, receipts, and payment requests
- Assist with payroll reporting and reconciliation support as assigned
- Ensure transactions comply with organizational policies, funder requirements, and internal controls
- Support audit preparation by providing documentation and reports
- Maintain confidentiality of financial and employee information
- Maintain confidentiality and accuracy of payroll and employee compensation data
- Assist Finance Manager or Controller with clerical and administrative tasks
- Respond to internal inquiries related to payments or financial records
- Coordinate with vendors, staff, and external partners as needed
- Coordinate with HR and payroll vendors or systems as needed to support payroll processing and documentation.
- High school diploma or equivalent (associate’s degree in accounting or finance preferred)
- 1–2 years of experience in bookkeeping, accounting support, or finance administration
- Proficiency in Microsoft Excel and basic accounting software
- Strong attention to detail and accuracy
- Ability to meet deadlines and manage multiple tasks
- Experience in nonprofit, healthcare, or government-funded environments
- Familiarity with accounting software (e.g., QuickBooks, Sage, NetSuite)
- Knowledge of basic accounting principles and financial controls
- Experience supporting audits or financial reviews
- Payroll processing experience or familiarity with payroll systems and payroll compliance requirements
- Strong organizational and time-management skills
- Clear written and verbal communication

- Ability to work independently and as part of a team
- Ability to handle sensitive payroll and employee compensation information with discretion and accuracy
