METER is seeking a Sales Administration Specialist I. Ensuring a world-class client experience, the Sales Administration Specialist interfaces with both Account Executives and clients via phone and email to gather and provide accurate pricing and terms, enters sales order information, and evaluates and solves client purchasing problems. As part of receiving and processing orders, this role also facilitates communication and documentation between sales, production, and shipping/logistics and ensures prompt and proper movement of each order through to shipment of goods and/or services. The Sales Admin Specialist also fulfills departmental roles by assisting with renewal services, providing basic quotes, conducting specific data searches as requested by the Account Executive, and assisting with other detailed responsibilities within the sales administrative processes, including other pre-sale activities.

The Sales Administration Specialist is a service-oriented role. Whether assisting clients or working with the sales team and other internal departments, it is vital to METER Group’s success that the person in this role works hard to deliver a high level of support.

This position works from METER Japan, our regional office in Koshigaya, Saitama, Japan.

The annual salary range for this position is ¥6M - ¥8.5M. Offers will be made in this range and will be dependent on the experience, skills, and abilities of the candidate, though they are typically in the lower half of the possible range.

Essential Functions

  • Working directly with clients over the phone, via email, or in person
    • Receiving and processing client orders and providing simple, verbal price quotes via email, fax or phone
    • Verifying pricing, terms and conditions, shipping requirements, warranty information, payment terms, and any special client instructions or requests for each order including confidential information
  • Helping contract distributors in the APAC region including Japan to sell our products and services
    • Holding regular online meetings with each distributor to update each other
    • Responding to inquiries from the distributors, working with US headquarters staff
    • Managing and following-up of sales targets for each distributor
    • Providing trainings necessary for the distributors to effectively promote our products
  • Ensuring timely and accurate order processing
  • Following up with Sales team members, Shipping services, and others in coordinating order fulfillment to ensure on-time product order delivery
  • Understanding general product information and communicating that with clients
  • Securing accurate order data from the client through established verification processes
  • Resolving minor client order issues to the satisfaction of both clients and company
  • Accepting and performing other assignments as proficiencies are gained

Required Technical And Functional Skills

  • Native Japanese speaker with excellent English language skills
  • Demonstrated ability to work within deadlines established by client and company
  • Adaptable to changing environments affecting Sales and Order Processing imposed by the client and/or the company
  • Proven ability to work well in both individual and team assignments
  • Strong client service and oral and written communication skills, including diplomacy in handling client requests and conflict within company policy and procedures
  • Sound understanding and application of purchase contract terms and conditions and shipping methods and terminology
  • Efficient use of computer systems and software including Microsoft products, etc., proven ability to learn new systems
  • Use of multi-line phone and telecommunications systems
  • Results-driven with minimal supervision

Preferred Qualifications

  • Experience in an E-Business environment, including Salesforce and Netsuite
  • Experience and knowledge in environmental research (agriculture, meteorology, plants) and quality control in the food and pharmaceutical industries.
  • 2 years of post-high school education with emphasis in business, marketing, office occupations, and/or client service

Work environment: Office setting including the use of a variety of office equipment and computer systems and frequent work interruptions

Physical requirements: Combination of standing and sitting for extended hours during the workday; close and distance vision abilities including color and depth perception
