About the Role

Pacifica Engineering Services is seeking a dependable, organized, and tech-savvy Human Resources Assistant to support our growing team. This role will work closely with our Office Manager and leadership team to assist with employee onboarding, benefits enrollment, payroll support, employee tracking, basic IT setup, QuickBooks Desktop support, and day-to-day administrative tasks.


The ideal candidate is detail-oriented, professional, organized, and comfortable handling multiple HR and office support responsibilities in a fast-paced environment.


Key Responsibilities

  • Manage and assist with new employee onboarding, including paperwork, employee setup, employee files, and internal coordination.
  • Assist with setting up laptops, email accounts, user access, software platforms, and other basic IT-related onboarding needs.
  • Train new employees on company platforms, internal systems, and enrollment processes.
  • Coordinate employee enrollment for medical, dental, vision, life insurance, 401(k), and other benefit programs through third-party providers.
  • Track new hires, terminations, employee changes, benefits enrollment, and required HR documentation.
  • Assist with payroll-related administrative tasks, including employee information updates, payroll coordination, and supporting records in QuickBooks Desktop.
  • Maintain accurate employee records and perform regular data entry updates.
  • Support the Office Manager with daily administrative tasks to help ensure smooth office operations.
  • Assist with tracking PTO, employee status changes, personnel files, compliance-related documentation, and internal HR records.
  • Help coordinate offboarding, termination tracking, return of company equipment, and related HR closeout items.
  • Provide general administrative, HR, accounting, and operational support as needed.


Qualifications

  • Prior experience in HR administration, onboarding, office administration, accounting administration, or a similar role.
  • Experience with employee benefits enrollment, including medical, dental, vision, life insurance, and 401(k) plans.
  • Experience working with third-party benefit providers.
  • Experience with QuickBooks Desktop is required or strongly preferred.
  • Comfortable assisting with payroll-related updates, employee information tracking, data entry, and general accounting administration within QuickBooks Desktop.
  • Basic IT experience, including laptop setup, account setup, software access, and basic troubleshooting.
  • Strong data entry, organization, and tracking skills.
  • Ability to maintain confidentiality and handle sensitive employee information professionally.
  • Strong communication skills and the ability to work well with employees at all levels.
  • Proficiency with Microsoft Office, Google Workspace, HR systems, and general office software.
  • Ability to work in a fast-paced office environment and manage multiple tasks at once.


Preferred Experience

  • Experience supporting payroll administration.
  • Experience with HRIS systems or employee management platforms.
  • Experience in a growing company environment.
  • Experience working alongside office management, accounting, or operations teams.
  • Experience maintaining employee records, onboarding checklists, benefits tracking, and termination records.

This position will have access to sensitive employee information, payroll-related records, benefits information, personal documents, termination records, internal company matters, and other confidential business information. The right candidate must understand that this is a professional administrative role, not a social role. They must be able to maintain clear boundaries, protect sensitive information, avoid office gossip, and handle employee matters with maturity, discretion, judgment, and professionalism at all times.

The candidate must also be mature, trustworthy, and capable of maintaining professional boundaries with employees while supporting HR and office functions. Any breach of confidentiality, favoritism, gossip, or unnecessary disclosure of sensitive information will not be tolerated.
