Job Overview
The University of Cincinnati Blue Ash College invites applications for our Executive Staff Assistant in our Academic Support Department.
The Executive Staff Assistant serves as the primary point of contact for the Dean’s Office Suite, providing administrative and operational support to the Academic Affairs team. This role is responsible for coordinating daily activities, ensuring efficient office operations, and supporting departmental initiatives. The Executive Staff Assistant reports to the Associate Director of Academic Affairs.
This will be a position with 83% full-time equivalency (FTE). This is an hourly, benefits eligible position. The candidate would only work 10 out of 12 months of the year, 40 hours per week. Each year, work would begin the first Monday in August and end the last Friday in May with no scheduled hours during June and July. This position is not eligible for visa or green card sponsorship.
Essential Functions
- Serve as the primary point of contact at the front desk of the Dean’s Suite, assisting faculty, staff, students, and visitors through phone and in-person interactions.
- Manage and coordinate scheduling for Academic Affairs staff, including meetings and events.
- Review and approve campus event location requests according to college guidelines.
- Coordinate and order catering for departmental events and meetings.
- Maintain and update department websites to ensure accurate and current information.
- Purchase office supplies and manage inventory for the department.
- Provide general administrative support and perform other duties as assigned.
- Bachelor's Degree
- Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement
Additional Qualifications Considered
- Effective oral and written communication skills and demonstrated organizational skills.
- Demonstrated proficiency in Microsoft Office.
- Experience using Microsoft Teams.
- Ability to learn and effectively use UC Systems such as 25Live, Catalyst, UC Flex, and Concur.
- Office environment/no specific unusual physical or environmental demands.
