Position Overview
VNS is seeking a Financial Operations Manager to partner directly with the Chief Financial Officer in overseeing and improving financial and operational functions across multiple business entities.
This role is intentionally structured as a growth-track position, offering high visibility, exposure to executive-level decision-making, and a clear development pathway to step into higher levels of responsibility within 6 - 12 months based on performance.
- Key Responsibilities
- Financial & Accounting Operations
- Manage and execute QuickBooks journal entries across multiple companies
- Support Accounts Payable, Accounts Receivable, Payroll, and related financial workflows
- Maintain and improve financial models, reporting templates, and dashboards.
- Assist in preparing financial sections of RFQs, proposals, and client submissions
- Prepare annual financial statements, reconciliations, and supporting documentation for the company’s CPA to support corporate and multi-entity tax preparation
1. Month-End Close Preparation
- Verify all vendor invoices have been received and entered
- Ensure all client billing for the month is submitted
- Update all recurring journal entries (rent, insurance, depreciation, allocations)
- Identify outstanding subcontractor or vendor invoices that require accruals
2. Financial Reconciliation
- Reconcile all bank accounts for all companies against QuickBooks
- Identify variances and correct miscoded transactions
- Code transactions to the correct project and cost category
- Flag unauthorized or unclear expenses for review
- Confirm proper coding of all invoices (project, cost type, general ledger account)
- Identify missing invoices or pricing discrepancies
3. Financial Reporting Package
- Profit & Loss Statement (by company + consolidated)
- Balance Sheet
- Cash Flow Summary
- Forecasted cash needs for next 30/60 days
- Vendor & subcontractor exposure
- Utilization metrics for internal staff
- Utilization metrics for external consultants
- Sales pipeline updates
4. CFO Review & Executive Briefing
- Present monthly financial package to the CFO
- Discuss variances, risks, and opportunities
- Identify decisions required by leadership (pricing, staffing, vendor changes, cash planning)
- Update financial models and forecasts accordingly
5. Post-Close Activities
- Implement corrections identified during CFO review
- Update rolling forecasts and cash projections
- Archive monthly close documents
- Prepare summary highlights for ownership/executive
- Operational & Technology Support
- Assist with technology implementation and systems management, coordinating with internal teams and external vendors.
- Maintain Access databases, internal software, and sales management tools.
- Identify opportunities for workflow automation and improved data integrity.
- Relationship Management & Strategic Support
- Provide support for client and vendor relationship management.
- Conduct market research to inform strategic planning and business development.
- Collaborate closely with the CFO and cross-functional leaders on budgeting, forecasting, and financial strategy.
Qualifications
- Background in construction or a related industry strongly preferred.
- Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook).
- Extensive working knowledge of QuickBooks.
- Highly detail-oriented, organized, and capable of managing multiple priorities.
- Strong written and verbal communication skills.
- Professional, adaptable, and collaborative team player.
- Comfortable supporting both finance and operational/technology functions.
CFO Succession Path
This role is ideal for a high-capability financial professional seeking rapid advancement. The Financial Operations Manager will receive direct mentorship from the CFO and President, progressively assume higher-level financial responsibilities, and be positioned to transition into higher level roles within approximately one year, contingent on demonstrated readiness.

Recommended Competitive Range
Based on market benchmarks for comparable roles in Ohio, a competitive base salary range is: $60,000 – $75,000 per year + performance bonuses
