Position Overview
We are seeking an experienced In-House Bookkeeper who can confidently manage company bookkeeping, customer files, office operations, and internal administrative systems. Responsibilities
Accounting & Bookkeeping Duties:
- Manage accounts payable and accounts receivable.
- Process invoices, receipts, subcontractor payments, and vendor payments.
- Reconcile bank accounts and credit card statements.
- Assist with payroll processing and contractor payment tracking.
- Maintain accurate financial records and job costing information.
- Track project budgets, deposits, and customer payment schedules.
- Prepare internal financial reports and assist with budgeting.
- Coordinate with accountants and tax professionals as needed.
- Help monitor company cash flow and financial organization.
- Maintain organized and accurate customer files from sale through project completion.
- Ensure all required contracts, selections, permits, invoices, and documentation are properly uploaded and tracked.
- Manage internal file organization systems and digital records.
- Verify job files are complete before production scheduling and project start.
- Assist in maintaining compliance documentation and signed approvals.
- Support communication between sales, design, production, and accounting departments.
- Create, track, and organize project change orders.
- Ensure all change orders are properly approved and signed before work proceeds.
- Coordinate pricing updates and payment collection for change orders.
- Maintain accurate documentation and communication regarding project revisions.
- Work closely with project managers, sales staff, and accounting to ensure change orders are billed and processed correctly.
- Help oversee daily office operations and administrative systems.
- Assist with HR onboarding paperwork and employee file management.
- Help improve office systems, processes, and organizational efficiency.
- Support leadership with reporting, accountability tracking, and operational organization.
- Assist with customer communication and maintain a professional client experience.
- Previous bookkeeping or accounting experience required.
- Experience with QuickBooks, Buildertrend, or similar software preferred.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong communication and problem-solving skills.

- Construction or remodeling industry experience is a major plus.
