Administrative Assistant - In-Home Services (IHS)

This role supports caregiving operations with a focus on client intakes and ongoing case coordination. The work ensures care is authorized, compliant, and able to begin without unnecessary delays. While this is an office-based role, it also includes local field visits. You will have opportunities to meet clients, family members, and caregivers in person and build real working relationships that support quality care.
What You'll Do
- Intakes & Client Coordination
- Support new client intakes, documentation, outreach, and follow-up
- Complete renewals, reassessments, revisions, and required authorizations
- Communicate clearly with clients, families, and case managers throughout
- Caregiver & Scheduling Support
- Assist with day-to-day scheduling changes, call-offs, and coverage needs
- Help build initial schedules from care plans and authorizations
- Build professional rapport with caregivers and clients to maintain consistency of care
- Operations & Compliance
- Interpret, adapt, and apply IHS and Medicaid regulations across unique client situations
- Maintain timely, accurate documentation and records
- Support quality checks, audits, and operational reviews as needed
- General Office & Field Support
- Answer and triage incoming phone calls
- Respond to client, caregiver, and family questions and concerns
- Complete local field visits for signatures, documentation, and compliance needs (paid drive time and mileage)
- Adapt to shifting priorities while maintaining accuracy and follow-through in a collaborative team environment
- Strong organization skills for detailed, process-driven work
- Clear, professional communication with clients, caregivers, families, case managers, and your team
- Ability to problem solve across unique and changing situations as part of a collaborative team
- Valid driver's license, reliable transportation, and active auto insurance
- Experience in home health, IHSS, Medicaid, or Health First Colorado
- Administrative or healthcare office experience
