ROLE SUMMARY

The Payroll Senior Executive (India) delivers accurate, timely, and compliant payroll processing through hands-on ownership of payroll inputs, validations, and cycle controls. The role partners closely with the payroll vendor and internal HR/Finance teams to manage employee master data changes, process payroll and benefits transactions, resolve more complex employee queries, and ensure statutory records and supporting documentation are complete and audit-ready.

KEY RESPONSIBILITIES

Payroll Inputs & Processing Support

• Own end-to-end preparation and submission of payroll inputs (new joiners/leavers, salary changes, allowances, deductions, reimbursements) ensuring accuracy, approvals, and cut-off adherence

• Consolidate, validate, and reconcile input data from HR (master data changes), time/attendance, and benefits vendors; investigate variances and drive timely closure

• Coordinate the payroll cycle with the vendor, including validations, issue logging, follow-ups, and end-to-end tracking of open items through to resolution

• Perform detailed pre- and post-payroll checks (variance, missing data, outliers), recommend corrections, and escalate material risks with root-cause insights

Benefits Transactions (India)

• Execute and quality-check benefits transactions (enrollments/exits/changes) for programs such as Car Lease, Meal Card, Medical Insurance, and NPS, ensuring correct eligibility and payroll impacts

• Maintain benefits trackers, validate supporting documents, and ensure timely updates in HR/payroll systems; follow up on missing information and approvals

• Manage vendor service requests end-to-end, resolving operational issues and supporting invoice/eligibility reconciliations with clear documentation

• Validate benefits deductions/reimbursements in payroll outputs and confirm corrections are implemented prior to finalisation/sign-off (per agreed process)

Payroll Administration & Controls

• Support monthly payroll processing through Alldigi / SAP / Workday interfaces, ensuring inputs are complete, reconciliations are performed, and standard output reports are reviewed and actioned

• Maintain payroll calendars, cut-offs, and trackers; proactively manage dependencies and chase outstanding inputs to protect payroll timelines

• Own employee ticket queues for payroll-related queries (payslips, tax declarations, deductions), resolving complex cases where possible and escalating per defined SLAs

Statutory Compliance Support & Record-Keeping

• Coordinate statutory compliance inputs and records (PF, PT, LWF, ESI, TDS) with the vendor; review outputs for completeness and flag discrepancies for correction

• Maintain organised payroll files, evidence packs, and standard templates to support internal controls, audits, and statutory inspections

Employee Support

• Provide clear guidance to employees on payslips, tax declaration timelines, and benefits processes; maintain/refresh approved FAQs and support knowledge sharing within the payroll team

SKILLS & EXPERIENCE

• 3+ years of experience in India payroll administration and shared services operations, with hands-on responsibility for payroll inputs, validations, and issue resolution

• Strong working knowledge of HR/payroll systems and Excel (trackers, pivots/lookups, reconciliations); SAP and/or Workday exposure is preferred

• High attention to detail, strong ownership mindset, ability to prioritise under tight cut-offs, and professional communication skills; able to handle confidential data appropriately
