Our client, a reputable civil construction contractor in the Greater Vancouver area, is seeking an Equipment Coordinator to support the day-to-day operations of their Equipment Division. This role combines administrative coordination with operational equipment support, requiring close communication with field operations, mechanics, vendors, and management to help keep equipment maintenance and repairs running efficiently.
Based out of the company’s Langley shop, this position supports a large fleet of 150–200+ pieces of heavy equipment across both shop and mobile repair operations. This opportunity is ideal for someone who thrives in a fast-paced construction or equipment environment and has previous exposure to construction, heavy equipment, fleet maintenance, or equipment service environments.
Schedule:
Monday–Friday, 7:00 AM–4:00 PM onsite in Langley, BC
Compensation:
$70,000–$100,000 base salary, depending on experience, plus benefits and RRSP matching.
Key Responsibilities:
- Manage and submit employee timecards in a timely and accurate manner.
- Coordinate equipment repairs and preventative maintenance schedules in alignment with operational priorities.
- Create, audit, and maintain work orders and equipment maintenance records.
- Track and maintain equipment data, service history, and maintenance documentation.
- Assist with procurement of equipment parts, consumables, office supplies, and warehouse inventory management.
- Manage purchase orders and assist with tracking repair and maintenance costs.
- Support machine warranty management to ensure all warranty opportunities are captured.
- Generate weekly, bi-weekly, and monthly equipment and maintenance reports.
- Communicate with management and field operations regarding equipment status, scheduled repairs, and downtime.
- Assist with managing SOS sample results and maintenance follow-ups.
- Support the maintenance team by helping remove operational roadblocks and improving efficiency.
- Maintain safety documentation and support compliance initiatives.
Ideal Candidate Requirements:
- Minimum 2 years of experience in an administrative, equipment coordination, maintenance coordination, or related operational support role
- Previous experience working within the heavy equipment, construction, civil contracting, fleet maintenance, equipment dealership, rental, or automotive service industry is strongly preferred
- Strong understanding of construction, maintenance, or heavy equipment terminology is considered a major asset
- Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook
- Strong organizational skills with the ability to multitask and manage competing priorities
- Excellent verbal and written communication skills with strong attention to detail
- Ability to work independently while collaborating effectively with operations and maintenance teams
- Strong problem-solving abilities and a proactive, solutions-oriented mindset
- High school diploma required; post-secondary education in business administration or a related field is considered an asset
