Position Summary
As an Administrative Specialist in our Youth Services/YouthBuild program, you would play a pivotal role in supporting our mission by providing exceptional professional administrative support to this department. This role requires a blend of strong communication skills, good time management, and outstanding organizational and customer service skills.
Essential Functions And Responsibilities
- Provides departmental reception services, receiving and directing visitors or calls
- Prepares reports and presentations, often of a complex or confidential nature
- Supports organization of marketing materials, reception area, case management offices, and Mill You program to ensure a welcoming, inclusive and informational environment
- Organize and assist in planning meetings, events, and hosting client visits – internal/external. This includes maintaining and organizing meeting minutes and documentation
- Ensures that departmental operations comply with organizational policies and procedures. Participates in and contributes to special projects as directed by the department head.
- Receives and responds to correspondence and maintains departmental records.
- Communicates with vendors to ensure that administrative or program needs are maintained
- Serve as the liaison with CTI administrative offices and Division to ensure follow through and completion of all administrative tasks
- Collaborate with Youth Services/YouthBuild “Front Door” staff to communicate/engage needs of young adults accessing the Youth Opportunity Center
- Participate in trainings to support a youth-focused, trauma informed lens
- Participate in program meetings as required
- Performs other related duties as required

- High School Diploma or equivalent education
- 5+ years of relevant work experience
- Ability to build collaborative relationships
- Excellent customer service, organizational, interpersonal, oral and written communication skills
- Ability to work well under pressure with good problem-solving and decision-making skills
- Ability to manage multiple priorities and work in a fast-paced environment with minimal supervision
- Excellent attention to detail and ability to maintain confidentiality
- Excellent teamwork skills
- Proficient Computer Skills to Include Windows, Microsoft Word, Excel, Internet, and comfort learning new software and tracking systems
- Bilingual skills (English/Spanish, English/Khmer, English/Portuguese)
- Associate’s Degree
