Job Type: Full-Time / Non-Exempt

Job Schedule: Monday - Friday, with the possibility of a weekend shift as needed

Job Location: Muskegon, MI

Hackley Community Care is seeking a reliable, adaptable, and customer-focused Clerical Float to join our team. Under the supervision of the Patient Access Manager and/or Site Manager, this role provides flexible administrative support across multiple departments and locations to ensure smooth daily operations.

Position Summary:

The Clerical Float is a versatile team member who supports a variety of administrative functions, including medical, dental, and school reception; mail courier services; switchboard operations; medical records; and patient coordination. This role requires flexibility, strong organizational skills, and the ability to multitask in a fast-paced healthcare environment.

Job Responsibilities:

  • Reception (Medical, Dental, School-Based Health):
  • Greet and assist patients in a professional and welcoming manner
  • Schedule appointments and manage calendars
  • Collect and update patient demographic and insurance information
  • Verify insurance and collect copays and patient balances
  • Manage patient check-in and check-out processes

Mail Courier:

  • Distribute internal and external mail and packages between locations
  • Switchboard:
  • Operate the main phone line, directing calls and assisting with inquiries
  • Manage incoming faxes and general communications

Medical Records:

  • Maintain and organize patient records
  • Ensure accuracy, confidentiality, and compliance with regulations

Patient Coordination:

  • Assist new patients with registration and onboarding
  • Provide information and support to ensure access to services

Job Qualifications:

  • High school diploma or equivalent required
  • One year of medical office or medical records experience or training within the past five years preferred

Skills & Abilities:

  • Strong interpersonal and professional communication skills
  • Excellent organizational skills and attention to detail
  • High level of accuracy in work
  • Basic computer proficiency
  • Ability to adapt and multitask in a dynamic environment
  • Strong teamwork skills with the ability to build positive working relationships
  • Excellent customer service skills
  • Self-motivated with the ability to work independently
  • Ability to travel between multiple facility locations as needed
