Job Summary/Basic Function
The College Engagement and Events Specialist I supports the mission and strategic goals of the Raj Soin College of Business (RSCoB) by assisting in the planning, organizing and execution of a diverse portfolio of high-impact recruitment and retention events that engage students, faculty, staff, alumni, corporate partners, and donors. Responsibilities for the Specialist will include: Collaborating with college leadership on event purpose, target audience, and desired outcomes; Developing event budgets and timelines; Coordinating event logistics; Coordinating event communication and promotion; and Managing vendors and stakeholders.
Minimum Qualifications
- Bachelor's degree in Business or related field and 1 years of related experience in business or higher education, or an Associate's degree in Business or related field and 3 years or related experience in business or higher education.
- Excellent organizational skills; ability balance multiple, overlapping tasks and work collaboratively with a team.
- Exceptional interpersonal skills and written communication skills.

- Bachelor's degree in business and related field and three years of demonstrated event planning, marketing and/or recruitment experience, preferably in higher education.
- Experience working with a diverse student population.
- Event planning experience.
- Oversee all logistical aspects of on- and off-campus events, including scheduling, venue selection, vendor negotiations, transportation and accommodations, catering, audiovisual setup, and compliance with university policies to ensure a seamless, high-quality experience for all participants.
- Develop cost estimates, track expenses, process invoices, and manage contracts to ensure events are delivered within budget while maintaining fiscal accountability.
- Create and manage detailed event timelines; distribute schedules, invitations, menus, and other key information to participants, facilitators, and stakeholders to ensure alignment and preparedness.
- Identify potential safety, logistical, or compliance risks during the planning process; respond quickly and effectively to unexpected challenges to maintain smooth event execution.
- Promote events through multiple channels (twitter, Facebook, college website, newsletters, etc.), manage promotional inventory and giveaways, coordinate high school career fair participation, and analyze event outcomes to identify trends and implement improvements for future programming.
- Act as a primary liaison among internal teams, clients, and external stakeholders, ensuring the timely exchange of accurate information, fostering collaboration, and aligning messaging with the college's strategic goals.
- Prepare, proofread, and format all event-related documentation and communications with meticulous attention to detail, ensuring accuracy, clarity, and full compliance with the university's branding and style standards.
- Create engaging, audience-specific content for social media platforms, the college website, newsletters, and other digital outlets to promote the college's programs, events, and initiatives while enhancing brand visibility.
- Research, write, and edit compelling content for alumni and student newsletters, highlighting key events, fundraising efforts, student organization activities, and other initiatives that strengthen community engagement.
- Partner with the Department of Marketing and Communications to conceptualize, design, and produce event collateral, promotional campaigns, and targeted communications that drive participation and support institutional objectives.
- Serve as a knowledgeable backup to the advising team by monitoring and responding to advising-related emails, addressing student inquiries, and managing appointment scheduling to ensure uninterrupted student support services.
- Prepare, update, and distribute academic fact sheets and related materials to assist students in understanding degree requirements and making informed course selection decisions.
- Manage the daily operations of the front desk, including the recruitment, hiring, training, supervision, and scheduling of student workers to ensure professional, efficient, and welcoming service to all visitors.
