Responsibilities
Project Setup Establish job accounts, review top sheets and lighting/power packages, and assess project values. Coordinate job setup communication, emailing suppliers and copying [email protected]. Distribute field binders and plans to Foremen. Change Orders Assign change order numbers and log them in CE as required. Process change orders, send them to customers, and follow up to secure approval. Communicate change order details with field teams as necessary. Cost Coding & Work Order Tracking Gather and monitor Work Orders/Day Work Orders for projects. Validate hours and cost codes on timecards, matching them to Work Orders, Day Work Orders, and Change Orders. Pre-code accounts payable entries related to Change Orders, Service, Lighting, or Power before others complete the final entries. Submittals Send vendor Purchase Orders (POs) for lighting and power, requesting submittals as needed. Submit to customers and follow up for approvals. Verify accuracy and release material orders, monitoring shipment dates for project timelines. Closeouts Prepare closeout documents, including warranties and as-builts, for contractors as requested. Project Shipping Coordination Manage shipment appointments, coordinate with vendors, and update Foremen/Project Managers as needed. Provide reminders to Foremen about upcoming deliveries. Material Orders Supply Foremen with POs upon request. Process material orders as needed and ensure they are entered into CE for tracking. Skills, Knowledge and Expertise 2+ years of experience working with the ComputerEase software and experience in working with U.S. firms. A bachelor's degree or 2 years of experience working as an assistant project manager. Experience studying proposals, blueprints, specifications, and related documents to identify labor, material, and time requirements for projects. Ability to compile a professional presentation and create reports on costing data. Possesses keen analytical skills. Excellent math and data analysis skills with a strong preference for Excel /Google Sheets mastery. Strong problem-solving skills. Strong preference for an individual with great control of both written and verbal English skills
