Position: Office Manager/ Assistant (U.S. Operations)
Location: Delaware (Office-based)
Employment Type: Part- Time (Minimum 20 hours/week, Monday–Friday)
Reporting To: VP Finance
About the Role
Client is looking for a highly organized and detail-oriented Office Manager to oversee day-to-day administrative operations at its U.S. office. This role also collaborates with global teams across the university, offering exposure to international operations and cross-functional workstreams.
The ideal candidate is process-driven, comfortable handling sensitive information, and capable of managing multiple administrative workflows efficiently.
Key Responsibilities
Administrative & Office Operations
- Manage incoming mail, including admissions transcripts, HR documents, and general correspondence
- Oversee graduation document processing and related workflows
- Provide voicemail and telephone support as needed
- Support day-to-day office operations and administrative processes
- Assist various teams with administrative requirements
Logistics & Coordination
- Handle employee laptop logistics, including shipping, tracking, and repair coordination
- Manage document attestations (Notary, Apostille, Federal), including scanning, uploading, shipping, and tracking
- Apply notary seals and signatures in compliance with state regulations
Requirements
- Bachelor’s degree (mandatory)
- 3+ years of experience in office management, administration, or HR support
- Strong proficiency in Microsoft Excel (data validation, formulas, reporting)
- Experience handling confidential and sensitive information
- Excellent organizational and multitasking abilities
- Strong written and verbal communication skills
Preferred:
- Experience in an academic or university environment (especially admissions)
- Familiarity with CRM systems
