Main Purpose of Job
A State Retirement Agency (SRA) IT Business Manager I is the intermediate level of work in support of the administrative and business operations of the SRA Information Systems division .
POSITION DUTIES
This Position Duties Include
- Procurements – Upon request from IS business units—either new or prompted by renewals—initiates procurement transactions for IT products or services; obtains quotations from vendors; creates accurate requisitions; obtains approvals and submits for processing; tracks and reports statuses, issues, assuring timely processing and receipt; routes invoices for approval; tracks payment and reports status; assists in bringing successful and timely conclusion to the procurement process. Maintains sufficient understanding of critical/key IS products/services to prioritize reminders and status reporting such that management is aware of pending deadlines and potential risks.
- IT Business Operations – Facilitates the organization and electronic storage of IT communication, documents, and contracts throughout their lifecycle, maintaining a sensible and consistently used filing system for the division. Advises IS staff on consistent adherence to filing standards and adapts the system as needed. Maintains advanced skills in modern business productivity software (such as Microsoft 365 applications) and leverages functionality to enhance processes. Provides ad hoc user support related to business applications. Supports Agency-wide Microsoft 365 user training by researching suitable training offerings, recommending appropriate courses , coordinating rollout, and tracking participation. Organizes, documents, and improves IS business operations policies and procedures. Organizes and schedules meetings related to IS operations.
- Budgets – Coordinates the annual budget process within the IS division. Maintains awareness of key steps and deadlines and ensures unit heads are informed. Tracks, monitors, and reports budgeted versus actual expenditures and assures expenditures are categorized correctly. Assists with development of expense justifications for requested budget items. Maintains awareness of critical/key IS expenditures to prioritize reminders and reporting such that management is appraised of potential issues.
- Other Duties – Assists with the Agency hardware inventory process and manages the inventory of consumables and office supplies. Supports Cybersecurity compliance activities including Third Party Risk Management surveys, collection of SOC reports, vendor questionnaire coordination, and documentation tracking. Assists with data entry, task tracking, and reporting in the Agency’s Governance, Risk & Compliance (GRC) platform. Provides administrative support for the cybersecurity awareness training platform including user enrollment, completion tracking, and reporting. May support research into IS or other Agency initiatives involving commercial off-the-shelf (COTS) software to identify solutions for business process improvements. May help prepare request for proposals (RFPs) for IS hardware, software, or services and may serve on vendor evaluation panels. Performs other duties as assigned to support IS operations and Agency objectives .
Experience: Two years of experience in an administrative capacity using personal computers.

- Candidates may substitute a Bachelor's degree from an accredited college or university in Information Technology, Computer Science, Management Information Systems, or other information technology related field for two years of the required experience.
- Candidates may substitute an Associates degree from an accredited college or university in Information Technology, Computer Science, Management Information Systems, or other information technology related field for one year of the required experience.

Preferred Qualifications
Preferred candidates will possess the following qualifications:
- Advanced proficiency with Microsoft Word including long document ‑ features (styles, section management, tables of contents, review/track changes)
- Intermediate or advanced Microsoft Excel skills (formulas, pivot tables, lookups, data validation) or relevant certifications.
- Experience p articipating in or coordinating annual budget processes, expenditure tracking, or financial reporting .
- Experience d eveloping and/ or recommending Microsoft training for staff .
- Experience s upporting cybersecurity or compliance activities such as cybersecurity awareness training platforms, vendor risk surveys, SOC report collection, or data entry into GRC systems .

Employees may occasionally be required to travel to field locations and must have access to an automobile in the event a state vehicle cannot be provided. Standard mileage allowance will be paid for use of a privately owned vehicle.
