Client Service Associate / Operations Manager
Position Summary
We are seeking a part-time Client Service Associate / Operations Manager to join our team in Metro Jacksonville. This role is hybrid/remote, but we would prefer local candidates. In this role, you will be responsible for providing exceptional client service, managing daily operations, supporting financial advisors, and maintaining organized and efficient office workflows. Your duties include responding to client inquiries, assisting with account-related services, ensuring compliance with financial regulations, and supporting various administrative responsibilities to enhance overall client experience and office efficiency.
As a Client Service Associate and Operations Manager, you will be the cornerstone of our family wealth management practice. This is a non-advisory, administrative, and operational support role designed to assist Financial Advisor(s) in delivering exceptional service to our clients. You will act as a primary point of contact for administrative needs—building trusted, long-term relationships while maintaining the operational resilience of our growing firm.
This is a Part Time (20 hours) a week role.
Essential Duties and Responsibilities
Client Relationship & Support
- Client Contact: Serve as an important point of contact for clients, responding to inquiries and managing expectations through complex situations.
- Onboarding & Transitions: Coordinate the end-to-end transition process for new clients to ensure a professional onboarding experience.
- Digital Education: Empower clients by enrolling and educating them on firm digital tools and self-service solutions.
- Inquiry Management: Answer general, non-investment related questions concerning accounts, including relaying stock positions and account balances.
- Meeting Logistics: Prepare comprehensive client meeting materials, agendas, and reports, and manage follow-up tasks.
Operations & Financial Administration
- Money Movement: Execute transactions and monitor transfers at the request of the client or Advisor.
- Account Maintenance: Manage account activities including opening new accounts, submitting forms, and maintaining profile information in a clerical capacity.
- Process Improvement: Apply innovation to enhance the efficiency of the operating platform and maintain standard operating procedures.
- Compliance: Remain current on all firm policies, procedures, and regulatory requirements.
Administrative & Marketing Support
- Calendar Management: Coordinate team meetings (in-person and virtual) and maintain travel itineraries.
- Strategic Marketing: Support the Advisor’s marketing strategy, including website maintenance and community event logistics.
- Office Functions: Assist with general support such as filing, scanning, uploading paperwork, and organizing documents.
Qualifications and Skills
Education & Experience
- Education: Associate’s or Bachelor’s degree preferred. High school diploma required
- Experience: Minimum of 3–5 years of client-facing experience in a financial services environment.
- Licensing: Willingness to obtain (or currently holding) SIE, Series 7, and Series 66 (or 63/65) as required by state law.
Professional Capabilities
- Service Mindset: Exceptional interpersonal and client service skills with a "client-first" orientation.
- Back Office Familiarity: Familiarity with financial custodian operations. Move money transactions, account openings, complex retirement transactions, etc.
- Technical Literacy: Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint) and other Cloud Applications. Able to learn new operating technologies.
- Compliance Focused: Familiarity of the compliance requirements associated with a financial advisory firm
- Organization: Superior organizational skills with the ability to prioritize tasks in a fast-paced environment.
- Collaboration: A team player who can work independently while collaborating with internal stakeholders to achieve goals.
