You will support scheduling, office logistics, supplies, mail handling, facilities coordination, and light executive assistance while fostering a professional, organized, and people-first environment across our operating companies nationwide. Duties And Responsibilities
- Greet visitors, answer inquiries, provide information about the organization, and direct guests to appropriate team members or meeting areas.
- Manage scheduling and coordination of conference rooms, meeting spaces, and virtual setups; prepare rooms with supplies, beverages, food, and technology as needed.
- Handle incoming and outgoing mail, packages, couriers, and deliveries with accuracy and timeliness.
- Monitor and maintain office supplies inventory: check stock levels, anticipate needs, evaluate products, place/expedite orders, and verify receipt.
- Assist with basic facilities maintenance requests and coordinate with vendors or building management for repairs, cleaning, or improvements.
- Support executive and leadership scheduling: arrange meetings, conferences, teleconferences, travel, and calendars while using discretion and judgment to facilitate priorities.
- Represent leadership as needed by attending meetings, taking detailed minutes, and following up on action items.
- Produce, transcribe, format, edit, retrieve, copy, and distribute various documents, reports, correspondence, and materials.
- Perform other administrative tasks as assigned, working independently within established procedures while maintaining confidentiality and professionalism.
Requirements/Qualifications
- Experience:
- 2–4 years of administrative, office support, or customer service experience required
- Experience in construction, mechanical services, or a professional office environment preferred
- Education:
- High school diploma or GED required
- Associate degree or vocational training in business administration or a related field preferred
- Physical Demands:
- Primarily office-based work
- Ability to sit or stand for extended periods
- Ability to lift/carry up to 25 lbs and move between office areas
- Frequent use of standard office equipment (typing, filing, phone use)
- Work Environment/Safety:
- Professional office setting
- Exposure to typical office noise and equipment
- Adherence to company safety policies and ergonomic practices
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat; familiarity with office equipment
- Experience with Sage 100 Contractor or similar ERP systems preferred
- Strong written and verbal communication skills with attention to detail
- Excellent organizational, multitasking, and time management abilities
- Strong customer service mindset and professionalism
- Ability to handle confidential information with discretion
- Reliable, punctual, and team-oriented with a positive attitude
