Position Overview

As an Office Administrator, you will provide essential administrative support and serve as the first point of contact for our office. This role ensures smooth daily operations, efficient resource management, and a positive experience for employees, visitors, clients, and partners.

You will support scheduling, office logistics, supplies, mail handling, facilities coordination, and light executive assistance while fostering a professional, organized, and people-first environment across our operating companies nationwide. Duties And Responsibilities

  • Greet visitors, answer inquiries, provide information about the organization, and direct guests to appropriate team members or meeting areas.
  • Manage scheduling and coordination of conference rooms, meeting spaces, and virtual setups; prepare rooms with supplies, beverages, food, and technology as needed.
  • Handle incoming and outgoing mail, packages, couriers, and deliveries with accuracy and timeliness.
  • Monitor and maintain office supplies inventory: check stock levels, anticipate needs, evaluate products, place/expedite orders, and verify receipt.
  • Assist with basic facilities maintenance requests and coordinate with vendors or building management for repairs, cleaning, or improvements.
  • Support executive and leadership scheduling: arrange meetings, conferences, teleconferences, travel, and calendars while using discretion and judgment to facilitate priorities.
  • Represent leadership as needed by attending meetings, taking detailed minutes, and following up on action items.
  • Produce, transcribe, format, edit, retrieve, copy, and distribute various documents, reports, correspondence, and materials.
  • Perform other administrative tasks as assigned, working independently within established procedures while maintaining confidentiality and professionalism.

Supervisory Responsibilities

None (individual contributor role focused on administrative support and office coordination; may provide guidance to temporary staff or interns as needed).

Requirements/Qualifications

  • Experience:
    • 2–4 years of administrative, office support, or customer service experience required
    • Experience in construction, mechanical services, or a professional office environment preferred
  • Education:
    • High school diploma or GED required
    • Associate degree or vocational training in business administration or a related field preferred
  • Physical Demands:
    • Primarily office-based work
    • Ability to sit or stand for extended periods
    • Ability to lift/carry up to 25 lbs and move between office areas
    • Frequent use of standard office equipment (typing, filing, phone use)
  • Work Environment/Safety:
    • Professional office setting
    • Exposure to typical office noise and equipment
    • Adherence to company safety policies and ergonomic practices
Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat; familiarity with office equipment
  • Experience with Sage 100 Contractor or similar ERP systems preferred
  • Strong written and verbal communication skills with attention to detail
  • Excellent organizational, multitasking, and time management abilities
  • Strong customer service mindset and professionalism
  • Ability to handle confidential information with discretion
  • Reliable, punctual, and team-oriented with a positive attitude
