What are we looking for?
We are seeking an experienced Inventory Data Administrator with a minimum of 3 years of inventory experience. The Inventory Data Administrator will play a crucial role in overseeing and managing the business’s inventory-related activities. This position requires a meticulous approach to data entry and a process-driven mindset.
What are you expected to do?
- Set up, design, and maintain customer, supplier, and product data sets in the Inventory Management System (IMS).
- Responsible for the upload and maintenance of product data (SKUs, BOMs, and Product Configurations, etc.) and ensuring the accuracy of all changes.
- Ensuring data is accurate and current across all organizations, and that staff are observing best practices and data quality standards.
- Running weekly stock reconciliation reports and in determining the root causes of inventory discrepancies and helping implement corrective actions to eliminate repetitive errors.
- Manage freight coordination and logistics booking, leveraging a comprehensive overview of stock movements and lead times to ensure optimal timing.
- Execute the transaction of purchase orders within the system based on procurement directives provided by the Director.
- Identify cost-saving opportunities throughout the inventory and fulfillment lifecycle by analyzing slow-moving stock, pack configurations, and supplier pricing trends.
- Design or alter custom document templates generated from the IMS for purchase, sales, and warehouse processes.
- Oversee system integrations and data flow between e-commerce, inventory and accounting platforms.
- Oversee from start to finish the Purchase and Sales workflow Lifecycle e.g., A/P, A/R, Sales, Inventory, Cost of Goods Sold
- Oversee from start to finish the e-commerce Order Lifecycle e.g., when a customer places an order to when the order is finalized, including returns/exchange scenarios.
- Reconciliation and discrepancy analysis between inventory and accounting platform.
- Troubleshoot data-related issues that may arise
- You have 3 years or more of professional experience in Data Inventory Management (Cin7 Core).
- You are proficient in e-commerce platforms and third-party logistics.
- You have experience using accounting software applications (preferably Xero).
- You are familiar with accounting principles involving the purchase and sales workflow.
- You are knowledgeable in Excel or Google Sheets.
- You possess Microsoft Office and email proficiency skills.
- You have intermediate analytical skills.
- You demonstrate proactive problem-solving by identifying discrepancies and addressing them before they become larger issues.
- You possess decision-making and solution-finding skills.
- You have strong verbal and written English communication skills.
- You take ownership of your responsibilities and their outcomes, whether positive or negative.
- You can work independently with minimal supervision.
- You can work effectively under challenging or high-pressure situations.
- You manage time accurately and efficiently.
- You maintain a high level of attention to detail, regardless of size or complexity.
