Summary/Objective

This position provides administrative and secretarial support for a manager and/or a department. In addition to typing, filing and scheduling, performs duties such as coordination of meetings, conferences, trade shows and working on special projects. This position deals with a diverse group of important callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diverse workload.


Essential Functions

1. Schedules and organizes complex activities such as meetings, travel, conferences and department

activities for all members of the department.

2. Establishes, develops, maintains and updates documentation in the Customer Relationship

Management program.

3. Creates, maintains and files customer information. Retrieves information from files when needed.

4. Works independently and within a team on special nonrecurring or ongoing projects. Acts as project

manager for special projects which may include: planning and coordinating multiple presentations

5. Types and designs general correspondences, memos, charts, tables, graphs etc. proofreads copy for

spelling and grammatical changes. Responsible for accuracy and clarity of final copy.

6. Acts as liaison with global marketing department to disseminate and/or gather information.

7. Rotates in phone coverage group to assure all phone calls are answered during business hours.

8. Service Quotes / Service Invoicing

9. Manage Service Sales funnel

10. Production management

11. Manage customer specific requests

12. Expense Reports & training

13. Generates detailed sales and statistical reports on customers based on SAP date queries

Supervisory Responsibility

This position has no supervisory responsibilities.


Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


Physical Demands

The physical demands described here are representative of those that must be met by an employee to

successfully perform the essential functions of this job. This is largely a sedentary role; however, there may be times where the employee will be required to bend or stand, with the ability to lift up to 20lbs.


Position Type/Expected Hours of Work

This is a full-time, hourly position and the hours of work and days are during our “core” hours. Every employee is required to be in house between the hours of 8:00am and 3:45pm Monday through Friday. It is up to the employee to determine their start time and end time including these core hours and ensure that their supervisor is made aware of their choice of working hours. Each member of the team is expected to stay until 4:30pm one day per week.


Travel

No travel is expected for this position.


Required Education and Experience

1. High school diploma

2. One year administrative experience

3. SAP experience helpful but not required
