Office Coordinator

Responsibilities:
- Oversee daily office operations to ensure an efficient and well-organised workplace
- Support the Head of Facilities coordinating and balancing the business load, capacity and skill planning requirements.
- Co-ordinate office space requirements, including layouts and workspace changes, managing visitors, set up of meeting rooms etc.
- Act as main point of contact in our Dublin office for all teams facilities queries
- Maintain and improve office policies, procedures, and systems
- Manage relationships with external suppliers and service providers
- Sort and distribute communications in a timely manner
- Create and update records ensuring accuracy and validity of information
- Schedule and plan meetings and appointments
- Ordering office equipment, stationery and kitchen/catering supplies
- Manage catering, meeting requests for on/offsite Board & Executive meetings
- Oversight of office expenditure and invoice reconciliation
- Arranging courier, taxi, shipping and other services for the office
- Maintaining office systems, including data management and filing
- Provide operational administration support for a variety of vendor documentation including maintenance, catering, security, cleaning, and equipment vendors.
- Carry out daily / weekly building inspections ensuring all office accommodation is maintained to a high standard and acting where required
