About the role
We are seeking a highly organised and proactive Executive Assistant to support a Superannuation Trustee Board and 2 senior leaders in a fast-paced environment. You will work alongside highly experienced, influential leaders who value a sophisticated EA, making this a unique, high-impact opportunity that spans two key areas in equal measure.
Duties
- Manage daily calendars for multiple executives, proactively prioritising conflicting needs and ensuring commitments are met.
- Provide dedicated administrative support to the Board and management committees, including meeting coordination, board pack management, and supporting the Company Secretary with documentation preparation, execution and filing.
- Coordinate multi-party meetings and conference calls, managing scheduling, agenda preparation and logistics across global time zones.
- Arrange travel, produce detailed itineraries and manage expense reconciliation in line with company policy.
- Draft, format and proof high-quality correspondence, reports, documents and presentations to a polished standard under tight deadlines.
- Organise team events, client functions and conferences, including venue liaison and catering coordination.
- Build trusted relationships with senior executives and external stakeholders, acting as a key liaison across the business.
Skills & experience
This is far from a traditional EA role. It calls for a sophisticated EA who thrives under pressure, manages competing priorities with ease, and builds trusted relationships while consistently delivering exceptional support.
- 2–4 years' experience as an Executive Assistant, ideally supporting senior executives and/or a Board of Directors.
- Experience in board administration or committee support is highly desirable.
- Background in financial services is desirable.
- High level of discretion, confidentiality, and judgment, particularly in handling sensitive information.
- Professional, polished communication style and strong stakeholder relationship skills at all levels.
- Proactive, solutions-focused mindset with the ability to anticipate needs and streamline processes.
