The Role
We are currently recruiting multiple Clerical Officers to join our Health Records teams across a range of hospital and healthcare settings throughout NHS Greater Glasgow & Clyde. The successful candidates will provide comprehensive clerical and administrative support to ensure the effective delivery of Health Records services and support high-quality patient care. Duties will include preparing and tracking patient records, arranging appointments, operating patient administration systems such as TrakCare, dealing with telephone and face-to-face enquiries, supporting clinic activity and maintaining accurate and confidential patient information in line with GDPR and Caldicott principles.
Band 2 roles are not eligible for sponsorship under the Skilled Worker or Health and Care Worker visa routes.
Duration, Location, and Working Pattern:
Opportunities are available on both a full-time and part-time basis across a variety of sectors and sites.
We have vacancies across the North, South and Clyde sectors.
North - Glasgow Royal Infirmary, Stobhill, Glasgow Dental Hospital
Clyde - Dykebar and RAH, Paisley, Inverclyde Royal Hospital, Lerverndale Hospital
South - Queen Elizabeth University, Gartnavel General Hospital, Gartnavel Royal Hospital, Beatson West of Scotland Cancer Centre

Key Responsibilities
- Provide clerical and administrative support within Health Records services
- Prepare, track and maintain patient records and appointments
- Operate patient administration systems including TrakCare
- Provide reception support and respond to telephone and face-to-face enquiries
- Support outpatient clinics, admissions and ward administration
- Maintain accurate and confidential patient information in line with GDPR
- Retrieve, file and distribute health records across clinical areas
- Liaise effectively with patients, staff and external agencies
- Provide cross-cover and administrative support across the service as required
- National 4 qualifications (or equivalent), including English
- Previous clerical, administration or reception experience is desirable
- Good IT, keyboard and data entry skills
- Strong organisational and communication skills
- Ability to prioritise workload and work to deadlines
- Ability to work independently and as part of a team
- Professional, flexible and patient-centred approach
- Experience with patient management systems is desirable, although training will be provided
