About the Opportunity
The HR Operations & Systems Coordinator provides high‑quality administrative and coordination support across the full employee lifecycle, including recruitment support, onboarding and offboarding, induction, HR documentation, compliance, HRIS data management, reporting, training coordination, staff communications, and engagement activities. The role is responsible for ensuring HR processes are delivered accurately, efficiently, and in line with organisational policies and legislative requirements. By maintaining strong HR systems, documentation, and service delivery, the HR Operations & Systems Coordinator contributes to a positive employee experience and supports the effective functioning of the HR team.
Main Duties and Responsibilities
- Manage end-to-end onboarding processes, including preparing employment offers, employment contracts, new starter documentation, system access requests, and welcome packs
- Facilitate smooth offboarding by preparing termination documentation, coordinating exit checklists, collecting company property, and processing system deactivations
- Organise and deliver the company’s induction program, ensuring new employees receive a consistent and engaging introduction to the organisation
- Prepare, issue, and maintain employment‑related documentation such as contracts, variations, salary increase and or bonus letters, and policy and toolbox talks acknowledgements
- Maintain and update HR reporting dashboards and metrics, including workforce data, onboarding/offboarding statistics, training compliance, and other key indicators
- Support the development of clear and engaging communication materials that promote organisational initiatives, policy updates, and cultural activities
- Serve as the primary contact for HR‑related queries, managing the HR inbox and ensuring all enquiries are responded to promptly, professionally, and in line with HR service standards
- Provide timely and professional support to employees and managers on HR processes, policies, and systems
- Support in coordinating end to end Recruitment activities
- Supporting the development and implementation of HR policies and procedures
- Lead and contribute to HR projects, process improvements, and initiatives that enhance the employee experience.
About You
You are a reliable and organised professional who thrives in a fast-paced and dynamic environment. You take pride in accuracy and understand the importance of attention to detail. You enjoy having variety in your day, working autonomously whilst being a vital part of the wider HR team. You have the ability to prioritise tasks and know when to act with urgency when it comes to working to tight deadlines.
What You Bring
- A tertiary qualification in Human Resources or related field (or studying towards the qualification)
- 3–5 years’ experience in HR coordination, HR administration, or HR operations, with strong capability across onboarding, HRIS, documentation, and compliance
- Understanding of HR practices and legislation
- Experience managing onboarding, offboarding, and employment documentation processes
- Experience using HRIS platforms with a strong focus on data accuracy and system administration
- Strong organisational and administrative skills with high attention to detail
- Experience coordinating training, events, or staff engagement activities
- Excellent written and verbal communication skills, including experience drafting staff communications
- Medium to high level IT capability, including MS Teams, HRIS platforms (e.g., Oracle HR), eLearning systems, and company intranet tools
- High level of accuracy, attention to detail, and commitment to quality
- Strong ability to prioritise, multi‑task, and meet deadlines in a fast‑paced environment.
