Position Summary
The Operations Manager serves as a central operational leader within the company, helping bridge the gap between design vision, field execution, customer experience, and internal operations. This role is responsible for helping ensure that complex, high-end landscape projects are executed with organization, professionalism, accountability, and attention to detail from pre-construction planning through final completion.
This position plays a critical role in maintaining operational clarity across multiple moving parts including project coordination, scheduling, subcontractor management, client communication, budgeting visibility, team accountability, and company-wide systems. The ideal candidate understands the unique demands of luxury residential landscape construction and thrives in an environment where quality, communication, craftsmanship, and client experience are held to exceptionally high standards.
This role requires someone who can think proactively, maintain composure under pressure, solve problems quickly, communicate professionally with both clients and field teams, and help create
structure within a fast-paced design/build environment.
Core Responsibilities
Operational Leadership & Project Flow
- Help oversee operational flow across design, estimating, pre-construction, installation, and project completion
- Maintain visibility across all active projects including scheduling, labor allocation, procurement timelines, subcontractor coordination, and outstanding items
- Help ensure projects move efficiently from sales and design handoff into successful field execution
- Create and improve systems that increase accountability, efficiency, communication, and organization company-wide
- Identify operational bottlenecks, project risks, scheduling conflicts, and inefficiencies before they escalate
- Support leadership in aligning daily operations with long-term company goals, profitability, and growth
High-End Project Coordination
- Assist in coordinating complex residential landscape construction projects involving pools, patios, outdoor living spaces, planting, lighting, irrigation, drainage, masonry, carpentry, and specialty installations
- Help maintain detailed project schedules and sequencing between internal teams, vendors, and subcontractors
- Coordinate material procurement, lead times, deliveries, inspections, permits, and site logistics
- Maintain organized project documentation including scope details, selections, revisions, change orders, and field communication
- Support project managers and field leaders in maintaining project momentum, organization, and execution standards
- Help uphold quality control expectations throughout all phases of construction and installation
Design & Client Experience Integration
- Help ensure the original design intent and customer expectations remain aligned throughout project execution
- Support a high-touch client experience centered around professionalism, responsiveness, transparency, and trust
- Assist in guiding clients through selections, scheduling updates, project changes, and construction coordination
- Help maintain the company’s reputation for thoughtful execution, detail-oriented craftsmanship, and clear communication
- Assist in resolving client concerns proactively, calmly, and professionally
Team Leadership & Accountability
- Support office staff, project managers, designers, horticulture staff, and field teams through organization, communication, and operational leadership
- Help reinforce company standards surrounding professionalism, quality, accountability, communication, and respect
- Assist leadership with hiring efforts including recruiting, interviewing, onboarding, and team integration
- Help identify staffing gaps, operational weaknesses, and opportunities for employee development
- Support corrective conversations, coaching, performance management, and employee accountability in a professional and solution-oriented manner
- Help foster a culture built around teamwork, growth, ownership, and pride in craftsmanship
Financial & Administrative Oversight
- Help maintain operational visibility on project budgets, labor usage, production efficiency, and job costing
- Assist with tracking project progress against budgets and timelines
- Coordinate operational documentation including contracts, insurance certificates, permits, subcontractor paperwork, W-9s, and related compliance items
- Support internal reporting, payroll coordination, vendor management, and administrative systems as needed
- Help leadership maintain accurate operational forecasting and project visibility
Qualifications
- Strong organizational skills with the ability to manage multiple moving projects simultaneously
- Excellent communication and interpersonal skills across clients, vendors, subcontractors, leadership, and field teams
- Ability to proactively problem solve and remain composed in a fast-paced environment
- High level of professionalism, accountability, and follow-through
- Understanding of landscape construction sequencing, logistics, and project coordination preferred
- Experience in operations management, project coordination, construction management, or landscape construction preferred
- Experience within luxury residential construction or high-end landscape design/build environments strongly preferred
- Familiarity with project management software, scheduling systems, and operational tracking platforms preferred
