The ideal candidate will be responsible for planning, coordinating, and implementing projects within the decided-upon budget, timeline, and scope. They will also effectively monitor and present project updates to relevant stakeholders, clients, or project team members.
KEY RESPONSIBILITIES
- Manage creative traffic and workflows across teams (Account, Creative, Studio/Design, Production) to keep work moving efficiently.
- Own project timelines/workback schedules and day-to-day tracking from brief intake to final delivery (milestones, dependencies, and approvals).
- Coordinate resourcing and task distribution (briefing, assigning, and re-prioritizing work based on capacity and deadlines).
- Support cost control by collecting and comparing supplier/freelancer/production quotes, coordinating POs/invoices as needed, and tracking internal/external costs against estimates.
- Identify risks, bottlenecks, and schedule conflicts early; escalate issues and propose mitigation plans to keep delivery on track.
- Run internal status updates: maintain trackers, share weekly/daily status reports, and follow up on action items and deadlines.
- Support brief intake: confirm deliverables, specs, and required approvers; document changes and update timelines when scope or priorities shift.
- Coordinate internal reviews and quality checks (file naming, versions, specs, and completeness) before deliverables are released.
- Maintain project documentation and improve team processes/templates to increase efficiency (e.g., trackers, timelines, checklists).
YOU ARE QUALIFIED FOR THE ROLE IF YOU…
- Bachelor’s degree in Marketing, Communications, Business, or a related field (or equivalent experience).
- 1+ year experience in an advertising agency, creative studio, or production environment (Traffic/Coordinator experience is a plus).
- Good understanding of creative and production workflows
- Strong organization skills in traffic planning, prioritization, and resource coordination across multiple projects.
- Experience supporting projects through the full lifecycle (briefing, production, revisions, approvals, delivery).
- Strong coordination, problem-solving, and time-management skills; able to work with tight deadlines.
- Strong interpersonal and communication skills; able to follow up firmly and professionally.
- Able to track scope, timelines, and budgets accurately and keep stakeholders aligned.
- High attention to detail.
- Comfortable adopting new systems and tools (project management tools, collaboration platforms, and AI tools as applicable).
- Strong Microsoft Office skills (especially Excel) or Google Workspace (Sheets/Docs); able to maintain trackers and reports.
- English proficiency is an advantage.
