Primary Essential Duties And Responsibilities
- Working safely is our company’s number one business objective. - Act as Liaison for external customers, EBS Sales and Contracting parties in the company, assuring excellence in communications (written and oral) and customer service.
- Assist Inside Sales Team Leader, Inside Sales Engineer TL, & management team with projects as needed. Back up Receptionist daily during lunch and breaks. Investigate issues as direct by Sales Manager.
- Attend occasion customer site visits.
- Coordinate ship schedules with factory, sales engineer, third party vendors & customers. Coordinate IOM’s to send or make sure they have been sent to customer in a timely manner once all products and variation items have shipped.
- Manage Bid Report (add new projects and customers) and provide back up to bid report.
- Coordinate Owner Training with the service/controls department.
- Coordinate with Representative Financial Department to obtain credit job approvals.
- Ensure quality of data in documents transition to operations team.
- Enter orders in product ordering system.
- Maintain and update project shipping schedule for customers.
- Provide back up support for receptionist and marketing department with regard to office supplies and office functions. Print documentation for events.
- Organize and maintain plan room of past and upcoming jobs. Organize and maintain sales proposals, documentation, and templates on the server.
- Perform a customer service role to internal customers, primarily to NSS Account Managers and the Sales Manager. Organize and maintain warehouse space for parts purchased by HEP Service, track projects and ensure throughput from EBS sale to fulfillment including ordering parts.
- Track freight claims that have been reported and entered to keep customer informed.
- Process new jobs by creating red job files/electronic files. Process Sales commission reports bi-monthly.
- Provide equipment summary with shipping information to customers daily by utilizing Actuate reports: Equipment Back Log, Ship Schedule, & Order Schedule reports.
- Receive and return calls, mail, and e-mail request from external and internal customers.
- Request Office Aging/ DBO Report from representative monthly.
- Update bid job list daily utilizing SRI & Dodge System, update weekly equipment shipping list for NSS and EBS.
- Work with Daikin & third party vendors to process warranty and damage claims.
- Perform any other related duties as required or assigned.
